Lease Administrator

Based in Canberra

Academy of Interactive Entertainment (AIE) is seeking a Lease Administrator to work closely with the National Facilities Team to manage the leasing and asset portfolios across the Academy of Interactive Entertainment Campuses and associated Game Plus co-working spaces and other building entities.

The Academy of Interactive Entertainment is Australia's most awarded 3D Animation, Game Design and Visual FX educator based in Sydney, Melbourne, Canberra, Adelaide and Online, with a commitment to maintaining its reputation for delivering high quality vocational education and training and higher education.

Reporting to the Global Facilities Manager, the Lease Administrator duties will include but not limited to:

- Negotiating new leases, licenses and conducting market reviews
- Preparing all documentation for new leases, licenses, renewals and short-term agreements
- Preparing and managing the leasing portfolio, including reporting to management
- Building and maintaining strong relationships with tenants with a focus on client service delivery, retention and developing new business and/or expanding existing client relationships
- Managing tenant needs to ensure client satisfaction
- Managing the processes surrounding rent reviews, outgoings reconciliations and arrears collection
- Conducting incoming / outgoing and periodic inspections
- Championing operational efficiency, compliance and WHS
- Coordination of maintenance tasks, ensuring properties are well managed and presented
- Creation of policies and procedures relating to Leasing, Property & WHS
- Support the Facilities/Property team on ad-hoc tasks.
- Maintain the asset, budget and project registers across the portfolio.
- Prepare reports and other documentation as required.

Essential Skills and Experience:

- Exceptional communicator, both verbally and written with a strong focus on attention to detail
- Proficient with Microsoft
- Facility Management Software - preferably leasing, assets and maintenance
- Engaging and coordinating contractors - preferably leading minor capital works projects
- Preparation and collation of documentation compliance, work health and safety, risk management, asbestos management plans
- Minimum of 4 years of experience in facilities, property or real estate administration.
- Minimum 3 years of CRM Software and asset registers.

Desired Qualifications:

- Facilities or property management diploma or above (degree preferred).

Please note:

- This is a part time (0.8) position with a 5-month probation period
- Salary is negotiable depending on experience.

**Salary**: $55,000.00 - $65,000.00 per year
