The Salvation Army Australia’s Homelessness Stream provides high quality, person centred services to people at risk, and or experiencing homelessness. We support adults and families, including accompanying children with accommodation, case management, outreach support, financial assistance, connection and referral to other specialist services.

We have an exciting opportunity for a Site Administrator to manage and deliver high-quality administration and reception support for a multi mission delivery site that aids clients with a range and combination of complex needs.

This is a permanent full time position.

You will successfully
- Maintain a high level of verbal communication and produce high quality correspondence, reports, and other documents as required
- Assist Program Teams and Finance with the processing and reconciliation of accounts and revenue accounting tasks
- Provide administrative support for site Fleet Cars, including servicing schedules, condition reporting, mileage logs
- IT Site Administrator for the site, including phone systems, printer and CCTV
- Assist Facility Managers monitor and maintain site WHS compliance, working within WHS legislation, TSA WHS guidelines and policy and requirements
- Manage induction of all new starters and on-site contractors
- Assist with meeting scheduling, and documentation including agendas, meeting documents and minutes as required
- (Reception) Screen incoming calls and take appropriate actions as required to manage enquiries effectively and direct to relevant service stream
- (Reception) Manage visitors in a courteous, efficient, and friendly but not intrusive manner
- Maintain appropriate records for shared organisational resources including room bookings, equipment, and vehicles
- Provide backup administration support for multiple sites, including travel between locations as required
- Coordination across all stream Managers to ensure consistency with processes and procedures

This position is based at Seymour with backup functions for other Salvation Army sites within the Region which provides Homelessness, Alcohol and Other Drugs, Youth Services and Corps based programs and Emergency Relief.

You will have
- Relevant Business qualification such as Certificate IV or Diploma in Business Administration (desired)
- Demonstrated experience in administration responsibilities, including reception duties
- Well-developed interpersonal and excellent verbal and written communication skills with the ability to liaise and build strong relationships with a diverse range of stakeholders
- High attention to detail with proven ability to maintain confidentiality
- Demonstrated time management and organisational skills with a proven ability to clarify roles and responsibilities of self and team members whilst monitor task completion to ensure objectives and priorities are met
- Knowledge of health and safety responsibilities
- A current VIC Drivers Licence
- Valid VIC Employee Working with Children Check
- Ability to provide proof of Eligibility to Work in Australia
