About the Role
**Responsibilities include, but are not limited to**:Parent Reception**:
- First response to phones,
- Parent Counter Duties,
- Assist Acct Payable with deliveries and incoming mail,
- Mail Register,
- PB Postcards.
Visitors
- Sign in and out - Compass. MAST completed where required. Blue cards copied and linked to the College as required.
**General Admin Duties**:
- Purchasing on behalf of Ad min and as directed by BM.
- Purchasing stationery on behalf of HODs with MHSSC accounts and prices.
- Jury letters.
- Entering event rolls associated with events ie Exam blocks, Term 4 Sport rotations.
- Entering College Calendar onto Compass (events nominated by DP).
- Entering College Calendar by term onto whiteboard in Admin.
**Facilities**:
- College Keys/ Staff Cards
- Issue keys and staff cards to staff at start of year
- Issue and return of keys and staff cards to new staff as required
- Maintain Key Register
- Create new key register each year
- Regular Audit of Keys and staff cards
- Issue and return of keys/ lift passes to contractors and facilities hire
- End of year
- Remind staff that keys and staff cards are to be returned
- Audit of keys/ staff cards - ensure that all keys and staff cards (except for Exec) are to be returned at end of year
- WAAPS
- Furnish WAAP's on BEMIR as required
- Issue keys/ staff cards/ security key/ lift passes if required for access
- Ensure WAAP's are signed by contractor to open and close
- Close WAAP's on BEMIR when work is complete
- Maintain dates end on BEMIR to ensure WAAP's aren't outstanding
