Practice Manager - Kwinana GP

Key Responsibilities
- **Reception & Appointment Workflow**: Lead and support the reception team in managing the daily workflow. Ensure patients are greeted warmly, appointments are scheduled efficiently, re-bookings are organized, and payments are processed accurately. Provide guidance and training to reception staff to maintain high standards of customer service and efficiency.
- **Appointment Scheduling**: Oversee and optimize the clinic’s scheduling system. Balance the doctors’ timetables, minimize wait times, and ensure that appointment slots are filled effectively to meet both patient demand and practitioner availability.
- **Billing & Debt Collection**: Manage all billing procedures, including processing Medicare rebates and handling private billing. Oversee accounts receivable and debt recovery processes to ensure timely payment of invoices and reduce outstanding patient balances.
- **Facility Maintenance & Security**: Coordinate maintenance and upkeep of the practice premises. Ensure that medical equipment, facilities, and supplies are well-maintained and that the workplace remains clean, safe, and secure for staff and patients.
- **Privacy & Quality Control**: Ensure strict compliance with privacy laws and clinic policies regarding patient records. Oversee the accuracy, confidentiality, and quality of patient files and clinical notes. Implement and monitor quality-control processes to maintain the integrity of medical records.
- **Third-Party Provider Management**: Liaise with external service providers (e.g. IT support, cleaning services, equipment vendors, laundry services) to ensure smooth daily operations. Manage contracts and performance of these third parties to meet the practice’s standards and needs.
- **Reporting & Administrative Support**: Prepare regular operational and financial reports for the management team. Assist with budgeting and forecasting, and contribute to strategic planning. Handle ad hoc administrative tasks and special projects as requested by the practice owners and senior managers.
- **Team Culture & Environment**: Foster a harmonious, positive, and engaging practice culture. Encourage teamwork and open communication among all staff. Lead by example in maintaining a cheerful atmosphere that puts patients at ease and motivates staff.
- **Health & Safety Compliance**: Ensure that all staff, patients, and visitors adhere to health regulations, including current COVID-19 protocols (masking, screening, sanitation, social distancing as required). Stay up to date with public health guidelines and implement appropriate safety measures to protect everyone in the clinic.

Qualifications & Experience
- **Medical Practice Management Experience**: At least **3 years** of experience managing a general practice or similar medical/healthcare setting. Demonstrated success in overseeing day-to-day clinic operations.
- **Leadership & People Skills**: Strong leadership and interpersonal skills with experience managing, mentoring, and motivating a team. Proven ability to foster a positive team environment and handle conflicts or challenges constructively.
- **Recruitment & Training**: Experience in hiring, onboarding, and training staff. Ability to identify skill gaps and implement professional development for team members.
- **Financial Acumen**: Solid understanding of financial management in a medical context. Experience preparing budgets, managing clinic finances, and handling Medicare billing and rebates. Familiarity with accounts payable/receivable and basic bookkeeping is expected.
- **Technical Skills**: Proficiency with practice management software (experience with **Best Practice** is highly advantageous). Comfortable using standard office software (MS Office) and learning new systems.
- **Accreditation & Compliance**: Prior involvement with practice accreditation processes or quality-assurance programs is preferred. Knowledge of general practice regulations and accreditation standards will be a bonus.
- **Education**: Diploma or certification in Practice Management (or a relevant qualification) is preferred. Ongoing professional development in healthcare management will be valued.
- **Personal Qualities**: Excellent communication skills (written and verbal), strong organizational abilities, attention to detail, and a proactive, solution-oriented attitude. You should be adaptable, resourceful, and committed to delivering exceptional patient care and service.
