
Executive Assistant Medical Receptionist

**Responsibilities**:
- Full time
- Flexible work options (hybrid work)
As an Executive Assistant, you will manage all the executive affairs of a leading cardiologist surgeon, with clinic in Edgecliff. Work mostly remote, with some home visits where necessary depending on tasks:
- 2x days from home
- 5-8 hours of flexible time either visiting doctor's home and doing tasks or running errand
- 2x days of in clinic receptionist work in Edgecliff.
In this role you will be responsible for:
General administration:
- Organising diary and briefing doctor regarding important meetings each week
- Minute taking for meetings
- Scheduling and rescheduling meetings
- Liaising with patients re concerns and scheduling appointments and imaging tests
- Travel planning and booking
- Expenses
- Writing and sending invoices
- Paying bills
Patient administration:
- Checking which patients have been admitted to the private hospital and adding to the excel spreadsheet with billing codes
- Calling patients in response to queries and referring them for appropriate follow up
- Scheduling patient tests where appropriate
- Registration paperwork
- Assistance with grant writing
Receptionist work:
- Booking patients for appointments
- Typing patient letters
- Doing medicare billing
- Filling patient notes
- Typing dictated letters
- Booking in the list of patients for the day
- Answering the phone
- Ensuring the room is set up with patient notes
- Chasing patient results and ensuring they are in the file at the time of consultation
- Liasing with GPs
- Letting patients know when the doctor is running late and giving them an ETA
What you will bring to this role:
- 2+ years relevant experience
- Experience with CCOS and Genie systems would be a plus, but not essential
- Attention to detail
