We have an exciting opportunity for a Workplace Manager to join our Melbourne Team. You will be accountable for working with appropriate internal and external partners, create/ maintain and curate the tenancy to optimise the workplace experience and employee engagement, ensuring business operations are supported efficiently and effectively in a safe and premium work environment.

Please note this is a Part Time position working 3 days per week.

**Your duties include but are not limited to**:
Working with the National team to efficiently deliver an appropriately consistent Mirvac workplace experience whilst respecting the local spirit of each office
Leadership of the Corporate Concierge including ongoing coaching, develop and performance management where required
Ensure fit out is fit for purpose and on brand; understand and optimise utilisation, taking action to address issues arising and manage workplace experience, working closely with Digital and the National team
Communicate proactively with workplace occupants and regularly review content on The Vine (hubsite) relating to Melbourne office/ Victoria, updating as necessary to ensure accuracy and reliability
Identify opportunities for innovation and improved efficiency/experience, leveraging technology where possible, supporting improved communication and consistency across the offices and to ensure strategic alignment.
Co-ordinate maintenance and ad hoc repairs as well as upgrades; working with National team to optimise preventative maintenance and contracts
Manage cleaning and waste streaming in line with contracts and organisational philosophy and our “This Changes Everything” strategy
Liaise with Building Management to meet lease obligations and develop effective working relationship promoting communication and cooperation
Co-ordinate any office moves, minor works or changes to floor plans
Coordinate office security including issue of access cards, programming of access doors to address after hours, holidays, etc and have access to CCTV system and footage
Manage provision of consumables and services to ensure value for Mirvac and leveraging Group Procurement, informed by purchasing policy, including kitchen supplies, stationery, first aid stocks
Manage storage requirements - personal (lockers) and team to ensure efficient use of space
Manage and maintain furniture including lockers and associated systems, ensure registers are maintained - asset, key, etc. Ensure assets are in good order and repair
Working with the National team, maintain a laser focus on procure to pay activities ensuring compliance with the raising of purchase orders ahead of any commitments, payment terms, and financial reporting requirements, processing purchase orders and invoices etc on a timely basis and resolving any issues at the earliest possible opportunity
Champion sustainability and health and well being activities in line with organisational strategy and respective roles and responsibilities
Ensure Workplace Risk Management Plan, Emergency Response Plan, Risk & Opportunity Register and all other HSE records/documents are reviewed regularly and implemented
Conduct regular inspections of office to ensure HSE compliance including identification and remediation of hazards
Report any incidents via the organisation’s incident reporting system and to relevant management
Coordinate / participate in HSE quarterly committee meetings
Leadership of concierge/ reception role and activities, with hands on support as required eg answering calls, meet & greet,managing meeting rooms, sorting of mail, arranging couriers, etc.
Oversight of and assistance with team member inductions, tours and events when required
Co-ordinate with the National team and other Mirvac stakeholders (eg Internal Comms, Culture & capability) to deliver events/ initiatives (such as Harmony Day, Pride Week, etc), team engagement initiatives, National Community Day, ELT &
Board visits, results announcements and any other state-based activities
Oversee and process CabCharge account
Maintain company vehicles - service and repairs, cleaning, etc

To be successful you will have experience in a workplace/ office management or extensive business administration experience.

You will have strong Computer literacy (Microsoft Office suite), time management, communication and problem-solving skills.
