A full time and permanent opportunity has become available in our Health Services team. Reporting into the Executive Assistant for the MD of Health Services, this is a hybrid role and based out of our Melbourne CBD office when not working from home.

The Team Assistant is responsible for providing professional assistance to the Health Services Team. This involves being a reliable and efficient ‘go to’ person for administrative support, in order to establish and maintain an efficient and organised working environment for the managers and their teams.

This role has lots of variety and excellent opportunities to develop and build on existing administration skills. We are looking for a team player that can provide value and add support with the variety of tasks that this role will be working on.

**How will I help?
Key accountabilities include but are not limited to:

- Providing administrative support to the wider Health Services Team (this includes Optical, Dental, Bupa Medical Visa Services and ADF Health Services)
- Reconciling business credit card transactions for the leadership team, processing invoices and ensuring payment occurs as required for the team.
- Providing process support for the team, such as knowing how to manage time sheets, raise job requisitions and manage time off requests.
- Organising travel requirements for our clinicians and for the wider team where necessary.
- Providing general assistance and logístical support to the wider team, coordination of team events and conferences, room bookings, catering requests and room set up.
- Preparing adhoc presentations, spreadsheets and documents, upon request.

**What do I need?**
- 2+ years in a business administration, team support, operations, or office coordination role supporting a senior manager / team members
- Excellent time management, communication and interpersonal skills and confidence liaising with senior key stakeholders
- Ability to work to tight deadlines and to coordinate and manage multiple and complex activities.
- An advanced knowledge of Microsoft Office
- You are a proactive, self-motivated problem solver with the ability to work autonomously with mínimal supervision or as part of a team
- You have exceptional organisational skills with the ability to prioritise work effectively.
