Receptionist

**Full Time/Part Time (Fixed Term and Permanent positions available)**

**About the Role**

We are currently looking for a Receptionist to join our fun and collaborative client team based in Werribee / Hoppers Crossing.

This crucial administration role will support our client care team with a range of administrative tasks. We are looking for someone with excellent communication skills, great attention to detail, good analytical and reporting skills, and the desire to make a difference.

**What you’ll be doing**
- Working closely with the Department Managers to provide support to our clients, internal team and stakeholders
- General reception and administrative responsibilities
- including, but not limited to, maintain office supplies/services, staff amenities, expense management, maintaining files and other reception/administration tasks as required
- Act as a primary point of contact and ensure the smooth day to day running of the office and your team
- Coordinate maintenance requests, ensuring they are fully completed
- Schedule Management - Manage meeting room bookings and assist with diary management of your department manager
- Manage multiple customer enquiries and prioritise competing priorities
- Set up intake interviews with participants including all required administrative documentation
- Liaise between our clients, internal team and other stakeholders ensure that the required paperwork and consents are in order
- Assist with onboarding new clients and preparing quotations and populate NDIS Intake forms with the relevant information from details collected from the initial referral form
- Update and maintain client database
- Be part of a team and able to work autonomously
- Contribute to continuous improvement initiatives, ensuring processes are clear and concise
- Ensure client and stakeholder satisfaction is of utmost importance
- Other duties as required by your line manager

**What you’ll need**
- High level administration skills and/or previous experience in a similar administration capacity
- Experience as **Medical Receptionist** would be viewed very favourably
- Excellent interpersonal, verbal and written communications skills
- Exceptional time management and organisational skills, with a solutions-focused approach to managing competing priorities
- Ability to follow instructions with strong attention to detail and accuracy
- Current Full Drivers’ licence and ability to travel
- Demonstrated high level of problem-solving skills
- Demonstrated ability to work independently (as required) and exercise initiative
- Ability to multi-task

**Remuneration**:

- **Minimum 2 years experience, an NDIS Worker Screening Check and COVID triple vaccination are conditions of employment.**_

- 8 hour shift

**Experience**:

- Medical Receptionist: 2 years (preferred)

Licence/Certification:

- proof of COVID -19 full vaccination certificate (required)
