
Personal Assistant to Director

**Job Overview**:
We are seeking a highly organized, proactive, and reliable Personal Assistant to provide comprehensive administrative, personal, and professional support to the director. The PA will handle a wide range of tasks, ensuring smooth management of daily activities, business operations, and personal commitments.
**Key Responsibilities**:
**Administrative Support**:
- Maintain and organize calendars; schedule meetings, appointments, and events
- Prepare reports, meeting notes, presentations, and correspondence
- Handle confidential information with discretion
- Assist in document management and filing systems (both digital and paper)
**Work and Business Management**:
- Liaise with internal teams, clients, and vendors as a representative
- Coordinate and follow up on projects and tasks
- Manage invoicing, billing, and basic bookkeeping tasks if required
- Organize business travel, itineraries, and accommodations
- Assist with basic research, report preparation, and business analysis
- Assist and coordinate with other departments.
**Personal Support**:
- Manage personal appointments and reminders (doctor visits, renewals, events)
- Arrange personal travel, reservations, and gifts
- Help with errands, online shopping, and coordinating household services if required
**Task Management and Organization**:
- Prioritize urgent issues and flag critical tasks
- Track pending action items and ensure deadlines are met
**Skills and Qualifications**:
- Previous experience as a Personal Assistant, Executive Assistant, or in a similar role is preferred
- Excellent organizational and time management skills
- Strong verbal and written communication abilities
- High level of discretion and professionalism
- Proficiency with Microsoft Office (Word, Excel, Outlook, PowerPoint), Google Workspace
- Familiarity with basic accounting, CRM tools, and project management software (preferred)
- Ability to work independently and anticipate needs proactively
- Attention to detail and multitasking abilities
**Preferred Qualifications**:
- Bachelor’s degree or diploma in Business Administration or a related field
- Prior experience supporting senior executives or entrepreneurs
- Flexibility to work outside regular hours when necessary
**Job Types**: Full-time, Permanent
Pay: $60,000.00 - $80,000.00 per year
Schedule:
- 8 hour shift

- Glen Waverley VIC 3150: Reliably commute or planning to relocate before starting work (preferred)
