**Position Overview**
The National Executive Coordinator provides crucial assistance, support and advice to the Chief Justice of the FCFCOA (Division 1)/Chief Judge of the FCFCOA (Division 2) (‘Chief Justice’) and the Chief Executive Officer and Principal Registrar of the FCFCOA (‘CEO/PR’) to support the exercise of their statutory duties and exercise of their day-to-day responsibilities across two extremely busy Courts. Together the Courts comprise 111 judges; hundreds of legal, social science and related support staff; registries and circuits across 43 locations; and are responsibility for around 100,000 filings per year.
The National Executive Coordinator is an integral part of a national operations team, and supports the Chief Justice and CEO/PR across the following key areas: (1) in the management and coordination of conferences, functions, meeting and key events with the Courts; (2) professional education, wellbeing and induction for judges; and (3) with respect to important projects. They provide a wide range of high level managerial, administrative and logístical support.
This is a busy role, requiring someone with agility and highly developed organisational and interpersonal skills. It requires frequent contact with internal and external stakeholders. The occupant of this position must enjoy working with a diverse range of people and have strong interpersonal skills. The successful applicant also requires research and analysis skills, the ability to work within statutory and procedural frameworks, strong attention to detail and a demonstrated ability to work autonomously and as part of a team.
**Key Duties**
- Key events management and coordination_
Assisting the Chief Justice and CEO/PR with the effective and efficient management and coordination of the Courts’ internal and external conferences and programs, providing high level coordination, stakeholder liaison and ongoing administrative support, including:
- Providing high level support to the Chief Justice and CEO/PR;
- Working closely with the national operations team assisting the Chief Justice and CEO/PR;
- Managing and coordinating the Courts’ key internal and external annual conferences and meetings;
- Establishing and coordinating an annual events timetable comprising internal and external Court events;
- Setting priorities and managing competing workloads to ensure quality output and meeting deadlines;
- Engaging with internal and external stakeholders, using clear communication to facilitate Court functions, planning of key internal and external Court related events; and
- Liaising with judges and others to support various judicial committees and working groups, including the coordination of annual diary and other administrative support.
- Professional education, wellbeing and induction programs for judges and registrars_
Supporting the Chief Justice to ensure a safe work environment and modern and effective judicial conduct and wellbeing policies and programs, through the coordination of comprehensive inductions and programs for the education, training and wellbeing of judges and registrars.
- Projects and policies_
In addition, supporting the Chief Justice and CEO/PR with key projects, including:
- research and analysis, including to assist with policy and protocol development and training material;
- assisting with the preparation of correspondence, presentations, reports and submissions; and as required, supporting judicial committees and working groups, including assisting with projects and research and preparing agendas and issues papers.
Some travel will be required.
**Competencies and Experience**
- Experience working in a professional environment with high level stakeholders, such as a Court, law firm or Government.
- Excellent judgment including exercising highest levels of discretion, planning, diplomacy, and confidentiality.
- A high standard of professional written, oral, and interpersonal communication.
- Excellent initiative and proactive attitude, and proven ability to organise, multitask and deliver results to tight deadlines.
**Selection Criteria**
The successful applicant will need to have:
- Demonstrated high-level organisational skills, including the ability to critically evaluate large volumes of information, manage competing priorities effectively, and exercise sound judgment in decision-making.
- Highly developed oral and written communication skills, including the ability to communicate effectively with judges and staff of the Courts, external organisations and members of the public.
- Well-developed research, analysis and presentation skills, including the ability to draft papers, submissions and reports, and demonstrated proficiency with technology.
- Demonstrated ability to work autonomously and as part of a team.
- Demonstrated working knowledge or clearly demonstrated capability to quickly acquire a sound working knowledge of the procedures, guidelines, policies and practices of the FCFC
