Concierge - Casual

The Garvan Research Foundation is the fundraising and marketing arm of the Garvan Institute of Medical Research, tasked with raising and administering vital funds from individuals, trusts and foundations and corporate and community groups. The Foundation also delivers Garvan’s public engagement and awareness activities. These educate and advocate the need for and importance of Garvan's medical research as well as share news of its progress with the broader community.

THE OPPORTUNITY

The Concierge team supports the whole of the Garvan Institute by welcoming and guiding all visitors on-site. They play a crucial role in greeting staff, sharing important internal information and engendering a culture of warmth and belonging as part of the ‘Garvan family’.

This team, reporting into the Garvan Research Foundation, will also play an important part in donor relations alongside GRF Supporter Services, particularly donor engagement and acknowledgement.

Hourly rate: $32 per hour + 10.5% superannuation

WHAT YOU WILL DO

The key responsibilities include:

- Providing comprehensive customer focused service with a personable ability to create a warm welcoming environment
- Guiding and directing staff, visitors, patients, and contractors (including Garvan and St Vincent’s associates)
- Attending to phone calls in a timely, proficient and friendly manner, effectively determining and directing calls to the appropriate recipient/department
- Assisting sign-in of visitors and alerting staff of their arrival
- Administration duties including courier bookings, logging of parking validations, mail sorting, alerting teams to collect “urgent” medical deliveries
- Flexible and available to work shifts between 8.00am and 5.30pm (Security Guards monitor the reception areas - Weekends and Public holidays)
- Provide relief cover for other Concierge team for daily breaks, as well as for annual and sick leave as necessary

Other key responsibilities as part of the Concierge team:

Keeping up-to-date with Events that are taking place in Garvan and The Kinghorn Cancer Centre precinct, printing/filing of new Event Forms sent through to reception
- Keeping up to date with current media releases, new clinical trials advertised and new donor acquisitions. Ensure point of contact is known for any of the above for queries that come through to Concierge
- Assisting in inbound calls for Garvan donor Supporter Services team and logging information for the Supporter Services team to action
- Monitor/report equipment breakdowns, maintenance requirements and cleaning issues
- Ensures appropriate and relevant information resources are available in front-of-house areas. (e.g. Breakthrough magazine)

ABOUT YOU

The key skills and experience include:

High level verbal, written and interpersonal communication skills with ability to interact confidently with all members of staff, visitors and patients to the Garvan Institute
- Demonstrated experience in administrative support
- Excellent Customer service skills
- Demonstrated public relations skills
- Competent in Microsoft Office suite, such as Word, Excel, PowerPoint, Outlook calendar software
- Qualifications in administration or other suitable areas are desirable
