As we continue to invest in our capabilities, we have an opportunity for an Administration Support Officer to join Southern Cross Care (NSW & ACT) on a permanent full - time basis.

**Key Responsibilities include**:

- Manage the Property Operations Helpdesk function in supporting each service’s property and asset management requirements including general property queries, planned and reactive maintenance requests.
- Provide all support functions in the Computer Maintenance Management System (CMMS) for the Property Operations team including data entry and assessment, reporting and troubleshooting.
- Facilitate issue of Taskflo Purchase orders, work orders and quote requests.
- Provide admin functions with ROSTERON for Property team staff.
- Ensure the CMMS is updated and administered appropriately, including management of requests and work orders, management of contractor and supplier information, service agreements, management of asset data and maintenance schedules.
- Monitor and support the input of all Maintenance Request data into the CMMS, always ensuring data accuracy.
- Support internal stakeholders in providing them the necessary data output and reports required utilising the various systems in use with property team.
- Ensure all relevant information to priorities and resolve requests is obtained and evaluated.
- Ensure that work orders are raised, tracked, and closed in a timely manner.
- Ensure supplier invoices are assessed against commitments, appropriately coded, and distributed for approval to relevant Property delegations.
- Liaise with contractors, suppliers, and service providers to ensure they have provided all necessary documentation.
- Liaise closely with the Property Operations team to ensure all work requests raised are followed through to completion.
- Provide the Property Operations team with general administrative support including taking accurate detailed messages, issuing routine correspondence, purchase orders and reports.
- Liaise with Procurement and the Property Operations team with respect to Property Insurance Claims.

**Selection Criteria**:

- Australian citizenship or Permanent residency essential (We do not offer sponsorship for this position).
- Minimum 2 years + experience in a similar role or demonstrated competency.
- Call Centre / Property Management / Help Desk experience.
- Intermediate computer literacy and competency in administration software, including Microsoft Office suite.
- Strong organisational and time management skills including the ability to prioritise and plan.
- Well-developed negotiation and problem-solving skills.
- Customer centric communication and interpersonal skills including demonstrated experience interacting with a wide range of stakeholders.
- Previous experience coordinating internal staff & external providers.
- Ability to work effectively under pressure.

**Desirables**:

- Experience and understanding of asset management practices.
