**The Department**
The Alfred hospital Intensive Care Unit is one of Australia's leading Intensive Care Units, admitting approximately 3,000 patients per annum. The Alfred ICU employs over 40 full-time ICU Consultants, over 60 medical staff members, and over 600 nurses making it the largest ICU workforce in Australia. As a consequence, there is a deep commitment to ensuring staff wellbeing, and providing opportunities for professional growth and development.
It is a university attached quaternary referral centre, providing State Services for heart & lung transplantation (including pediatric lung transplantation), artificial heart technology, burns and hyperbaric medicine. It also provides Victoria’s Adult Cystic Fibrosis and Pulmonary Hypertension services.
**The Role**
The Personal Assistant (PA) will provide critical administrative and operational support to the three Nurse Managers within the Intensive Care and Hyperbaric Unit and larger team where required. This role demands exceptional organisational skills, the ability to multitask effectively in a high-pressure, fast-paced environment, and a strong understanding of healthcare systems and processes.
The PA plays a key role in managing the front desk and performing various administrative tasks to ensure the smooth operation of the ICU office. The PA is the first point of contact for visitors, clients, and staff. The role involves greeting visitors, answering phone calls, scheduling appointments, and performing clerical duties to support the office team.
**Skills and Experience Required**
- Excellent time management and organisational skills.
- Strong communication skills, both written and verbal.
- Ability to handle sensitive information with professionalism and maintain confidentiality.
- Proficiency with office software (e.g., Microsoft Office Suite, healthcare management systems).
- Adaptability to rapidly changing priorities in a fast-paced, high-stakes environment.
- Strong problem-solving abilities, with a focus on practical, immediate solutions.
- Robust strategic thinking with the ability to anticipate future needs and plan effectively.
