**Description**:
We are seeking a highly skilled and experienced Executive Assistant to support our Chief Operating Officer (COO) in driving the company's operational success.
As the Executive Assistant to the COO, you will play a crucial role in providing comprehensive administrative support and ensuring the smooth functioning of the COO's office. Your exceptional organizational skills, attention to detail, and ability to handle multiple priorities will be instrumental in helping the COO effectively manage their responsibilities and assist in supporting the customer facing operation. This is an exciting opportunity to work closely with a dynamic team and contribute to the success of Assetlink.
This can be a part time opportunity, working from our office in Gladesville from Monday - Thursday or full time from Monday - Friday.
**Role Responsibilities**:
Manage and maintain the COO's calendar, schedule appointments, and coordinate meetings and business reviews, customer conferences and maintain and track business improvement projects.
Prepare and distribute documents, reports, and presentations for meetings and executive correspondence.
Coordinate travel arrangements, including flights, accommodations, and transportation, for the COO and the wider operational team.
Assist in preparing agendas and materials for meetings, ensuring all necessary information is provided in a timely manner.
Take minutes during meetings and distribute them to relevant parties.
Conduct research, gather data, and provide comprehensive reports on various topics as assigned.
Help manage and organize special projects as directed by the COO.
Maintain confidentiality and handle sensitive information with discretion.
Tracking and coding expense of the corporate credit card.
Any other duties as required from the COO
**Skills and Experiences**:
**You will have**:
Proven experience as an executive assistant or in a similar role, supporting executives.
Exceptional organizational skills, with the ability to manage multiple tasks and priorities effectively.
A customer focus
Strong written and verbal communication skills, with the ability to draft professional correspondence and create impactful presentations.
Proficiency in using productivity tools, such as Microsoft Office Suite, specifically PowerPoint should be a focus, interest and some expertise.
Outstanding attention to detail and accuracy, with the ability to proofread and edit documents.
High level of professionalism and discretion, with the ability to handle sensitive and confidential information.
Strong problem-solving skills and the ability to think critically in a fast-paced environment.
Excellent interpersonal skills, with the ability to build positive relationships at all levels of the organization.
Flexibility and adaptability to changing priorities and deadlines.
A sense of humour will be helpful
