We currently have an exciting opportunity to join us as a Stakeholder Relations Coordinator within our Maritime Australia line of business based out of our Osborne Shipyard. This role is part-time and (22 hours per week) and flexible with how those hours are worked

**Your new role**:
As the Stakeholder Relations Coordinator, you are responsible for ensuring we present a professional and consistent company image and key messages are presented to all employees, visitors, contractors and consultants who visit, ensuring a smooth operation of the tours and stakeholder events all times. This position reports into the Senior Communications Manager - Maritime who is responsible for ensuring that BAE Systems Australia - Maritime key messages, brand and identity are communicated clearly and persuasively to key internal and external stakeholders.
**In more specific terms you will**:
- Provide customer and client welcoming as the face of BAE Systems Osborne Naval Shipyard including facilitating the arrival and orientation of visitors, managing regular tour days and coordinating VIP visits including administration and preparation of security passes, PPE, presentations and coordinator of tour leaders and hosts
- Coordinate meeting room bookings as required for any external visits
- Managing the site tour leaders database and timings including providing training for any new tour leaders, updating tour script, collateral and key messages to ensure consistency and professionalism of tours
- Development and management of a proactive stakeholder tour and events calendar for Osborne Naval Shipyard and Tonsley Innovation sites including identifying key stakeholders and liaising with them to facilitate tours and events
- Development of invitations, collecting RSVPs and proactively managing stakeholder events
- Liaison with external and internal stakeholders in the coordination of site visits and tours as required
- Development and management of a site visitor database and regular reporting
- Coordination of photography and videography as required as part of site tours and VIP visits
- Coordination of visit communications activities including but not limited to presentations, speech notes, talking points, marketing collateral, event promotional materials such as banners, etc.
- Event management: including planning, support to budget management, liaising with external providers in advance and during events, catering, set-up, function support and pack-up. Including creation of purchase requisitions and administration support to payment of invoices for events
- General office administration and support: including maintenance of PPE, office supplies and equipment, assistance with the preparation of documents and manuals as required and assistance with special projects as requested
- Develop appropriate systems, procedures and controls to enhance stakeholder relations.
- Cross-skill other employees to support function where required
- Work with the senior technical services officers to ensure the proper function of site audio visual equipment as required, including reporting any issues
- Providing high level information on the products, services or activities of the organisation as appropriate
- Other ah-hoc administrative tasks and projects as directed by the Senior Communications Manager
- Expectation of out-of-normal hours work to support events on occasion (rarely)
About you
**As an ideal applicant for this opportunity, you'll have**:
- Current Baseline (or higher) Government Security Clearance (this is a must have and something you currently hold)
- Team orientation with a high level of communication skills
- Demonstrated experience in working effectively with internal and external stakeholders at all levels
- Previous experience in executive support/co-ordination, events management, project management or marketing is highly desirable
