As our Referral Coordinator, you will combine relationship management, event planning, and strategic marketing in one dynamic role, while playing a key part into a state-of-the-art general practice and referral hospital.
The Vet Practice and the Victorian Veterinary Rehabilitation Centre (VVRC) have long been known for advanced care and specialist rehabilitation. Now, we’re expanding our vision
- creating a comprehensive general practice and referral hospital that sets new standards for veterinary care in Victoria.
This role isn’t just about maintaining relationships
- it’s about helping us write the next chapter, supporting the changeover phase, and ensuring our referring vets feel informed, engaged, and excited about what is coming.
**The Position**:
As Referral Coordinator, you will act as the relationship manager and communication bridge between general veterinary practices and our experienced team to ensure a smooth, well communicated referral journey for clients and patients. You will partner closely with our clinic management team to evaluate effectiveness and identify future needs.
**Key Responsibilities**:
- Liaison & communication
- Serve as the main point of contact for referring veterinarians, ensuring their concerns are addressed and that clear communication lines are maintained.
- Relationship building
- Visit and engage with local veterinary practices to build and strengthen professional relationships with general practitioners and improve the referral experience.
- Promote Services
- Ethically promote the services offered by the referral clinic, hospital, or specialist team to the wider veterinary community.
- Logistics and Coordination: Assist in managing the referral process, ensuring clients and their pets have a seamless experience when moving from a general practice to a specialist clinic.
- Events & CE — Plan and deliver CE events (program, speakers, logistics, promotion, certificates, follow-up).
- Problem-Solving: Address any issues or concerns that arise between the referral clinic and the referring practice, acting as a mediator and solution-finder.
- Data & reporting — Track referral volumes, conversion, turnaround times, source mix and campaign/event impact; recommend improvements.

**What you will bring**:
- Mid‑level experience in referral coordination, marketing, account/client relations (healthcare or veterinary experience advantageous).
- Excellent communication, organisation and interpersonal skills to build relationships with veterinary clinics and work collaboratively with marketing and hospital staff.
- Familiarity with veterinary services and the local veterinary community would be advantageous.
