As a Procurement Coordinator at Kite Magnetics, you will work closely with the engineering and operations teams to manage the sourcing, procurement, safe storage and logistics of materials, components, and tools essential to product development and production. The role will also maintain consumables and parts inventory, manage supplier onboarding, and support customs and freight logistics. This is a hands-on role, ideal for someone who thrives on ownership, precision, and working cross-functionally in a fast-paced startup environment.

**Key Responsibilities**:
**Procurement & Sourcing**:

- Translate high-level technical requirements into procurement actions.
- Identify and evaluate potential suppliers for components, materials, and tools.
- Manage minor expense requests, purchase orders, supplier quotations, and approvals.
- Coordinate with engineering to confirm suitability of sourced items before purchase.

**Order Management & Logistics**:

- Place and track purchase orders, ensuring timely delivery of goods.
- Manage freight, customs clearance, and inbound logistics.
- Inspect delivered goods for quality, completeness, and damage, releasing them from the incoming goods are into warehouse inventory once passed.

**Inventory & Asset Management**:

- Maintain inventory records for consumables, tools, components, and capital items, noting lifecycle/expiry dates and minimum stock levels.
- Stocktake and restock consumables to ensure uninterrupted R&D and manufacturing operations.
- Tag and register assets where applicable and support inventory system development.
- Contribute to the safe operation of equipment through the development and management of an equipment maintenance schedule to ensure continued operations.
- Contribute to the safe storage of consumables, parts and tools.

**Supplier Management & Onboarding**
- Assist in onboarding new suppliers using established checklists and processes.
- Maintain supplier records and track performance (e.g., delivery times, quality).

**Finance & Reconciliation**:

- Reconcile supplier invoices, liaise with finance on payments, and ensure budget compliance.
- Assist with reporting and document retention for audit and compliance purposes.
- Track usage levels and project-based inventories for future budgeting purposes.

**Qualifications**:

- Certificate IV or Diploma in Procurement, Logistics, Supply Chain, or a related field preferred.
- 3+ years in a procurement, purchasing, or logistics coordination role.
- Experience in manufacturing or R&D environments desirable.
- Familiarity with inventory software or ERP systems and Xero accounting software is highly regarded.
- Experience with international shipping, customs clearance, export control and freight forwarders is a bonus.
