**Position Details**:
- Part-Time: Approximately 22.8 hours per week
- Flexible Schedule Options:
- Work 3 days a week
- Or spread the hours across 5 days for greater flexibility
- As a Records Assistant, you will play a crucial role in maintaining and safeguarding our organisation’s records at a high standard, enabling solicitors to efficiently handle their case responsibilities. Additionally, you will provide general office support, manage incoming and outgoing mail, and oversee various records coordination activities, including disposal. Your attention to detail and commitment to maintaining confidentiality will contribute to the smooth functioning of our legal practice.
**Key Responsibilities include**:
- Providing case files and other requested documents to the Legal and Legal Support teams.
- Organising case files and records, ensuring they are accurately sorted, stored, and kept up to date. Your meticulous filing ensures that other users can easily locate the required information.
- Maintaining high standard of file maintenance and storage.
- Ensuring efficient file retrieval for staff members.
- Archiving and shredding of documents in line with instructions and business practices.
- Optimizing file and mail room coordination
- Overseeing the coordination and efficient handling of all incoming and outgoing mail.
- Fulfilling various administrative assignments as directed by the Facility Manager.
- Assisting the distribution of office supplies.
- Ensuring consistent high quality of work.
**The Successful Applicant**:
- Previous administrative experience in a corporate office involving file coordination is an advantage.
- Excellent time management and organisation skills.
- Must be able to work autonomously and reliably.
- Must have valid driver’s license and own car, in order to travel between office and storage site in Springvale.
- Must have physical fitness, as the role requires manual handling of archive boxes and other items.
- Proficient skills with Microsoft Office, including Outlook and Excel.
- Ability to communicate effectively, both verbally and written.
- High attention to detail.
- Proactive and positive “can-do” attitude.

Pay: $27.18 - $32.97 per hour
