**About us **

First Choice Allied Health is a NDIS registered provider, offering a comprehensive range of health services including Speech Pathology, Occupational Therapy, Psychology along with a team of professional therapists. We are an allied health clinic that primarily provides assessment and intervention to clients across a range of ages.  

The Receptionist is the first point of contact for clients, carers, and visitors at our NDIS allied health clinic. This role provides a warm, professional, and efficient front-of-house experience while supporting clinicians, the admin team, and remote staff in delivering high-quality services.

You will manage reception duties, coordinate appointments, communicate with clients, and assist with administrative tasks, ensuring seamless collaboration between the in-clinic and remote teams and maintaining compliance with NDIS and clinic policies.

**Key Responsibilities**:

- Greet clients, carers, and visitors warmly and professionally in person and over the phone.
- Schedule, confirm, reschedule, and cancel appointments in coordination with therapists and the remote admin team.
- Check in clients, notify therapists of arrivals, and manage waiting area flow.
- Process payments, issue receipts, and assist with claims (e.g., NDIS, Medicare, private health).
- Maintain accurate and confidential client records, uploading documents as needed.
- Liaise effectively with therapists, intake, accounts, and remote admin team members to ensure continuity of service.
- Collaborate with the remote team to handle administrative workflows, including booking lists, report follow-up, and document management.
- Ensure the reception area is clean, organised, and stocked with necessary materials.
- Support the team with other administrative and operational tasks as required.

**Requirements**:

- Experience in reception, customer service, or administrative roles (healthcare or NDIS setting preferred).
- Excellent verbal and written communication skills.
- Strong organisational skills and ability to prioritise tasks in a busy environment.
- Confidence using Microsoft Office and practice management software (e.g., Cliniko, Halaxy, Splose or similar).
- Ability to collaborate with both in-clinic and remote team members effectively.
- Basic understanding of NDIS processes and terminology (or willingness to learn).
- Professional, empathetic, and calm under pressure.
- High level of attention to detail and respect for confidentiality.

**Desirable**:

- Familiarity with allied health services and terminology.
- Experience working with people with disabilities or diverse backgrounds.
- Previous experience working in a hybrid (in-person and remote) administrative environment.

**Job Type**: Casual

Pay: From $28.50 per hour

Ability to commute/relocate:

- Ascot Vale VIC 3032: Reliably commute or planning to relocate before starting work (required)
