Our client is a large council that is seeking an experienced Administration Assistant.

The role requires outstanding communication skills, sound judgment and the ability to work both autonomously, and as part of a team. You will need to be proactive, well-organised, adaptive, and responsive in order to ensure effective operations within tight timeframes. This role often requires independent research in order to meet the requirements of this position.

**DUTIES**
- Support the Team Leader in the coordinating responses to all Members of Parliament and Councillor correspondence.
- Review an edit to ensure clear and accurate replies to assigned correspondence received from General Manager, Councillors, and Members of Parliament within the target response time.
- Maintain and updating comprehensive spreadsheet reflecting correspondence received, and actions taken including completion dates.
- Assist in the development, and maintenance of effective administration / office management practices and processes.
- Preparation of purchase order requisitions and actioning of invoices in a timely and proficient manner
- Carry out word processing, database management and presentations as required.
- Prepare reports, and monitor dashboards.
- Assist in admin support for other units within City Assets as required.
- Coordinate and resolve inquiries by liaising with multiple departments within the Council where required.
- Relationships will be developed within the Council and externally so as to ensure accurate and timely information is provided upon request.
- Work as an enthusiastic and engaged member of the admin team providing contribution and analysis for workplace duties.
- Other duties as requested by the supervisor, Team Leader, or Director

**ESSENTIAL QUALIFICATIONS AND OR EXPERIENCE**
- Relevant qualifications or demonstrated experience in office administration.
- Current Class C drivers’ licence.
- Previous experience in similar capacity
- Highly developed verbal and written communication skills
- Demonstrated ability to work collaboratively as part of a team.
- Extensive experience in customer service with demonstrated verbal and written communication skills.
- Decision making is based upon previous experience, however innovative solutions are provided when dealing with unique situations.
- Office administration duties are performed without supervision in an environment of frequent interruptions Excellent verbal and written communication skills.
- Highly developed organisational and time management skills
- Ability to work as part of a team and autonomously.
- Able to observe strict confidentiality in respect of services provided.
- Able to work under changing priorities.
- Able to manage workload and time management to meet deadlines.

**DESIRABLE QUALIFICATIONS AND OR EXPERIENCE**
- Experience using iShare, Pathways, Excel and SAP
- Knowledge of State, Federal and Local Government activities and responsibilities
