In your Executive Assistant role, you will provide support to the Chief Digital Officer. You will also support the senior leaders working in Digital. An advanced level of flexibility, discretion and confidentiality is required to be excel in this role.

Responsibilities will include the provision of planning out the CDO’s 3 month schedule of commitments, assistance with the preparation of presentations and workshops,, departmental reporting, together with being engagement champion for our people and culture alongside general administration duties.

The Role:

- Coordinate the diary of the Executive 90 days ahead and ensure the availability of relevant agendas and supporting papers for meetings and engagements based on agreed priorities.
- Establish and maintain a comprehensive follow-up register of matters that the Executive is required to address, to ensure that outstanding issues and deliverables are dealt with in a timely fashion.
- On behalf of Executive, pro-actively follow up with managers across the Group on matters for which they have responsibility.
- Develop and maintain an extensive network of contacts, and a strong awareness of business developments and priorities, across the Group so that issues which arise can be viewed in an appropriate context.
- Prepare drafts of presentations and papers for Board, Executive and regular committee meetings, together with ad-hoc papers and correspondence as required.
- Expense and risk management.
- Set up and support of digital and partner workshops, events and high priority strategic projects.
- Organise and take minutes of a variety of scheduled weekly meetings. Prepare drafts of minutes and agendas, distribute when finalized and follow up with the respective teams about outstanding action items.
- Collate and produce a variety of regular and ad-hoc departmental reporting including budget variances, resource planning, risk register etc.
- Maintain electronic and physical filing systems for the Executive.
- Organise travel and accommodation for Executive and Digital Leadership teamms
- Organise internal and external functions and meetings for the Digital team, including organizing meeting rooms, audio visual equipment, catering and ensuring team presentations are collated and in a consistent format.
- Manage Purchase Order administration
