**Overview**
Oversee, manage and be responsible for the professional, smooth, efficient, and comprehensive delivery of office management and operational services at CIMIC head office. This role has an element of providing Executive and/or Secretarial support when required.
**Key responsibilities include**:
- Manage Facility Management staff and associated partners and supply chain.
- Manage and facilitate office processes and procedures.
- Procure and manage office supplies including stationery, kitchen supplies and office furniture.
- Manage office maintenance including, lighting, kitchen equipment, plants, coffee machine, dishwashers, Billi hot water systems and document security disposal, scheduling maintenance and repairs accordingly.
- Process invoices and expense claims into JD Edwards for Office Services.
- Manage office contract for cleaning and maintenance.
- Establish and maintain office management files and data bases.
- Book international and interstate couriers and ensure cost is coded to correct department/code.
- Collection and distribution of office mail.
- Support the recruitment, selection, orientation, and training of administration employees when required.
- Provide general administration support to Executive Assistants as required i.e., Expense reports, JDE invoicing.
- Assist with office projects as required.
- Maintain new and existing personnel data bases and equipment including, security cards, parking passes and change room lockers.
- Manage trades person and guests’ temporary security card access.
- Manage maintenance of security bins, printers, video conferencing and meeting room equipment.
- Update Fire Warden and First Aid schedule information.
**Education and Qualifications required for this role**:
- Minimum 3-5 years’ experience in a corporate environment supporting the administration function for an office.
- Qualifications in Business Management or related disciplines desirable but not essential.
- Experience in J.D. Edwards favourable
- First Aid Certificate preferable
- Fire Warden experience preferable

- Ability to traverse between “big picture” and “fine detail”
- Exceptional organisational and time management skills
- Strong problem-solving skills
- Excellent communication skills both written and verbal
- Outstanding interpersonal, liaison and networking skills and the ability to develop rapport with all levels across the business
- Ability to be flexible and work independently as well as part of a team whilst proactively managing multiple competing priorities in fast pace environment
- Demonstrated ability to work with ambiguity and offer innovative and pragmatic solutions
- High level of skill in exercising discretion and confidentiality
- Management of budgets prior knowledge beneficial
- Knowledge of clerical practices and procedures.
- Computer proficiency to support area of work Advanced level of computer proficiency in Microsoft Office Suite
