**About the role**

As a Settlement Support Co-ordinator, you will take over the client relationship from the moment our Acquisitions Team exchanges on a property. Your role is to ensure a seamless, high-touch settlement experience, managing from exchange to post-settlement major milestones, including aftercare and ensuring clients feel supported through the process.

Initially reporting to the Head of Acquisitions & Operations Manager, your primary responsibilities will include coordinating all aspects of the purchase process, including a preliminary review of contracts prior handover to the legal representative for our client, organising third party inspections, managing required works, liaising with brokers, solicitors, property managers, quantity surveyors, inspectors and ensuring a smooth transition from purchase to tenancy.

By owning this critical phase, you will enable the Senior Property Acquisitions Analysts (SPAAs) to focus solely on sourcing and securing properties, while ensuring our clients experience an exceptional level of service post-purchase.

**Core Responsibilities**

You will take ownership of the entire settlement process, ensuring clients have a stress-free and well-managed experience.
- ** Manage Pre-Settlement Process**: Own all milestones from exchange to settlement, coordinating between clients, their team, and InvestorKit.
- ** Contract & Documentation Management**: Ensure the timely distribution, tracking, and compliance of contracts and all associated paperwork.
- ** Deposit Coordination**: Track and support with deposit payment details, alongside timely payment in line with key contract terms via all necessary parties.
- ** Insurance support**: We aren’t insurance advisors, however many questions pop up and information is required for clients to adequately take out insurance. Proactive assistance will be required to ensure this is smooth for our clients
- ** Inspection & Work Coordination**:
- ** Organise building & pest inspections** (P&B) and pre-settlement walkthroughs.
- ** Analyse Building & Pest report** and present findings to SPAA for review.
- Ensure all clauses are satisfied and negotiated works are completed to the right standard before settlement.
- ** Finance Support**: Communicate with brokers and lenders to ensure timely finance approval to satisfy finance clauses in a timely manner.
- ** Rental Campaign Coordination**: Work with property managers to ensure timely leasing of the property post-settlement.
- ** Depreciation Schedule Coordination (if required)**: Assist clients in organising depreciation reports for investment properties.
- ** Client Engagement & Communication**: Ensure clients are updated **proactively and regularly,** both from your end and on behalf of the SPAA maintaining clarity and confidence throughout the process.
- ** CRM & Portal Management**: Maintain **100% accuracy in CRM data, ensuring all interactions are recorded and responses are timely and professional.**:

- ** Long-Term Client Support**: As the business evolves, this role will also support clients post-settlement by working alongside Portfolio Strategists when needed.

- ** Experience with real estate personally or professionally**. If not in the real estate sector directly, supporting industries will also help considered e.g finance, legal, construction. Essentially, real estate transaction or management support experience is essential.
