A temporary full-time position for an experienced Administration Officer (A03 equivalent) is available with a State Government Department based in Ipswich. (Initially for one month with a likely extension)
**Skills preferred for this role include**:
- Previous experience in a similar role - ideally Government based
- Working knowledge of HPE (TRIM)
- NAQITS database experience advantageous
**Duties and responsibilities include**:
- Proficiency in administrative duties and accountabilities essential
- Perform daily operations as directed by the Manager, act as first point of contact by receiving telephone calls and visitors and directing these to appropriate areas
- Provide confidential admin support, information and advice to Directors, Managers and other staff in accordance with departmental policies and procedures, on admin, HR and financial issues
- Diary management - organise appointments, committees, meetings and conferences including catering, materials and information, organise travel, accommodation and business arrangements for staff and clients
- Minute taking as required
- Maintain records management system: act as the central point for correspondence and documents which includes distribution of correspondence and other documents and follow up outstanding items and prepare documents for approval
- Develop and maintain management and administrative databases, process information and prepare correspondence/associated reports for senior officers
- Manage and maintain equipment including administering any equipment loans and participating in the annual asset stock take
- Undertake human resource and financial processing activities including engaging new staff, maintaining records, updating records, progressing leave requests, purchasing, processing invoices, reconciling corporate card transactions, processing of travel claims and petty cash recoupment
- Liaise with officers and individuals at all levels of the department, other government agencies, the private sector and community representatives
- Maintain knowledge of appropriate legislation, policies, procedures and protocols
