The Project Support Officer will provide high-level and strategic support to three Directors withing the Asset Development and Infrastructure Advisory Services branch, including high-level complex diary management, engagement with various stakeholders, accurate recording of meeting minutes, records management and general administrative duties that align with Government policies and procedures. Strong administration, office management and excellent writing skills are required to be successful in this role.
The position will be a key interface between stakeholders and provide project team support and administration in a range of areas including, report coordination, meeting arrangement, diary management, records management, and presentation preparation. This role will require a high level of interaction with project team members, and you will need to be responsive and flexible when working with others. To be successful in this position you will need to be a self-starter who can show a high level of initiative and independence in setting up processes which will enhance project effectiveness.

Key accountabilities
- Organise and manage a range of meetings, briefings, and presentations, including the preparation and distribution of material pre and post meeting (agenda's, minutes, actions etc) and relevant equipment where necessary.
- Answer queries, provide timely advice, undertake follow up action and identify emerging administrative functions, pre-planning and evaluation of scope.
- Arrange meetings, including liaison with senior executives and government officials coordinating papers, organising venues, and making travel and accommodation arrangements.
- Operate as an effective branch member in a team environment and deliver quality, timely and effective support to staff at all levels.
- Effectively review and make suggested improvements to office processes and maintain corporate information systems for records management and financial information.
- Contribute to and support project administration, including:
- Proactively contribute to the preparation of project plans, briefings, submissions, reports, correspondence, and presentations for the project
- Contributing to the monitoring and evaluation of projects to ensure departmental objectives are met.
- Foster and develop strong working relationships across VHBA and the broader Department of Health to support the development of projects that includes a range of disciplines and expertise.
- Actively contribute to the development of a positive and high-performing team culture, including by identifying and implementing opportunities to improve team-work practices.
- Develop and maintain effective working relationships with internal and external project stakeholders including internal divisions, regions, agencies, consultants and contractors.
- Manage and contribute to business improvement projects, effecting positives outcomes for the Developments team and wider organisation.
- Keep accurate and complete records of your work activities in accordance with legislative requirements and the department's records, information security and privacy policies and requirements.
- Take reasonable care for your own health and safety and for that of others in the workplace by working in accordance with legislative requirements and the department's occupational health and safety (OHS) policies and procedures.
- Demonstrate how the actions and outcomes of this role and work unit impact clients and the department's ability to deliver, or facilitate the delivery of, effective support and services.
