Whilst there are no mandatory qualifications for this position, tertiary qualifications in a relevant field such as criminal justice would be highly desirable.
- Utilise and navigate the Agency electronic recording systems and databases as required;
- Maintain facilities and equipment, including performing audits and maintenance of electronic registers;
- Assist with monitoring and maintaining the Integrated Offender Management System (IOMS) to ensure accurate statistics and data are available;
- Provide data input support for staff as required;
- Ensure the security of Board files and appropriate access to the files by relevant staff and approved external agencies;
- Prepare, maintain, update and manage parole board files;
- Carry out all administrative duties as requested;
- Manage own work-flow by negotiating and confirming work priorities for work completion in consideration of the needs of other officers;
- Answer general telephone enquiries;
- When required liaise with internal and external stakeholders in relation to Secretariat activities;
- Provide support to other staff on administrative issues and assist with the preparation of all associated Secretariat correspondence;
- Comply with and provide input to administrative processes and systems that ensure the security and confidentiality of Board information and offender files;
- When required undertake procurement and financial processing duties and any other associated budget, human resources and general administrative support for the Secretariat as required;
- Manage databases and spread sheets, scanning, photocopying, filing.
