We are seeking a dynamic individual willing to invest time and effort in the Kay & Burton brand of professionalism, service and discretion and in building and maintaining strong relationships. In this role you will work independently as well as in a team environment in a professional, efficient and diplomatic manner to manage all aspects of reception and administration tasks to assist the Sales, Property Management & Operations team.
**Key responsibilities for **Sales Administration**
- Providing ongoing sales support to all sales employees through assisting with sales related activities
- Enter property details accurately into CRM
- Place orders for property marketing and book ad spaces.
- Conduct PDOL / APM searches as required
- Coordinate correspondence to solicitors in relation to contract processing and sold files
- Preparation, activation and processing of all new listing files
- Organisation of upcoming property settlements
- Manage Advertising accounts and reconcile invoices
- Prepare Open Packs/Auction Bags
- Manage internet property listings & build artwork for all boards, brochures and print media.
- Upload open for inspections and cross checking with appropriate websites to ensure accuracy
- Weekly Sales meeting minutes/updating internal staff stock list
- Compile sales statistics and produce reports
- Prepare advertising schedules, files and authorities
- Complete the daily mail run and maintain adequate stocks of stationery, Australia Post supplies, REIV
- Reporting of weekly sales
- Project work as required
- Market research
- File audit
- Soft copy file management
- Reception duties - Manage incoming calls, boardroom bookings, kitchen maintenance/organisation (Some offices you may sit on reception). Relief reception required.
- Other administrative duties as required
- Experience with Zenu software advantageous
**About you**:
You are a customer focused individual with excellent communication and people skills. You will be able to recognise and respond to competing priorities in order to create an effective and efficient office environment.
**To be successful in this role you will possess**:
- Minimum 2 years' experience in an administration / support / receptionist role within Real Estate
- You will be happy to be the "Face" of Kay and Burton and be seated on reception (depending on office location)
- Proficient in Microsoft Office suite specifically Excel and Word
- Ability to work well independently and as part of team and demonstrate initiative
- Exceptional relationship and communication skills
- High level of attention to detail, customer service focus, personable demeanour
- Experience in Real Estate Industry (highly regarded)
