As an **Administration Officer**, you will be based in **Morningside, QLD**, and report to the Business Manager. You will provide efficient administrative support to the Braeside group, provide an organized and customer-focused reception.
**Responsibilities**:
**OFFICE ADMINISTRATION**
- Ensure the efficient and professional running of the Braeside office by: Reception responsibilities, providing an organized and phone service and front desk service
- Organising maintenance of different pieces of office equipment, including, photocopier/printer, binding, and laminating equipment.
- Maintenance and organising of filing system and archives.
- Improving office procedures, communications, and support to ensure exceptional service is provided to internal and external clients.
- Accounts Payable; Partner with Vendors and pay accounts within preferred terms.
- Assisting Braeside Sales team, with generating Excel/Word reports, calendar appointments
- Work with Business Manager & PPG head office on the marketing, promotion and coordination of workshops, seminars, and training and trade events at our Braeside training centre.
- Travel arrangements; Assist team members with specific travel arrangements.
- Assist Business Manager with the administration of the National Refinish TSSR program (PPG EH&S program for representatives).
- Organising and coordinating event invites venue, catering and requirements for the event, training sessions
- Help implement the Refinish Vic/Tas Sales plan and supporting a team of 20 professionals by providing calendar updates, process expenses and budget reports.
**CUSTOMER SERVICE**
- Ensure friendly professional service to both internal and external customers.
- Preparation of professional presentations & documentation for use with customers’ base.
- Assist the training manager with the organisation of training for PPG Staff, distributors, and end-users.
- Work with our customers and support teams to develop the MVP program utilising MVP program concepts, features and philosophies in this important value-added program including course development, conferences, national round table meeting coordination.
**ENVIRONMENT, HEALTH & SAFETY**
- Ensuring that all work is performed in a safe manner to meet housekeeping and statutory EH and S standards.
- Ensuring office equipment meets safety regulations and strengthening safety rules.
**Qualifications**:
- Minimum 3 years of experience in a similar role, including reception and ability to prepare professional presentations and documentation.
- Advanced Word/Excel, and high proficiency in different computer packages including desktop publishing and databases
- Demonstrated capacity to learn new business reporting systems such as 11i or sound knowledge of Item Loading / Maintenance functions in OPM 11i and influence of each data field
- Knowledge of GPS and ACOHS MSDS system (ACOHS)
- Approach Exceptional customer service skills with a disposition
- Manage complexity and attend to detail.
