We currently have an exciting opportunity to join us as a Business Coordinator within our Maritime Sustainment Line of Business. You will be supporting our DDG Program Director, which will give you the opportunity to contribute to this strategic program and supporting the Australian Defence Force (ADF). This role will be based out of our Garden Island Sydney office.

**Your new role**:
As the Business Coordinator to the DDG Program Director, you will to use your exceptional Executive Assistant, organisational and stakeholder engagement skills to ensure they are always prepared and never miss a report, deadline or action. You will build a strategic partnership and be valued across the Program and the Business. In more specific terms you will:
- Provide confidential high level administrative support to them and their teams
- Assist internal & external stakeholders with administrative queries
- Be responsible for day-to-day organisation and prioritisation under mínimal supervision with mínimal input
- Complete monthly credit card in line with business requirements
- Provide administrative support to senior leaders and/ or lead teams, inclusive of meeting coordination, calendar management, logistics of meeting rooms, presentations, virtual access, site access and catering for small meetings to larger scale events
- Arrange domestic and international travel, inclusive of flights, accommodation, transport, per diem and visit requirements in line with company policy
- Collation of required reports in consultation with leaders and/ or teams to consistently meet business requirements and deadlines
- Plan business events and activities effectively in collaboration with key personnel to achieve business objectives
- Facilitate effective communication between leaders/teams and other administrative staff
- Raise purchase orders, process invoices and reconcile credit cards in line with company policy
- Escort and supervise visitors within secured areas and facilitate VIP visits whilst providing professional customer service
- Provide site administration as required
- Assist with on-boarding and induction of new staff members
- Provide ad hoc business support as required
- Business Coordinators to cover periods of leave for other administrators within the organisation as required
- Effective stakeholder engagement and management
- Implement process improvements and contribute to business efficiencies
- Support senior leaders with critical governance systems, registers, processes and data records
About you
**As an ideal applicant for this opportunity, you'll have**:
- Ability to contribute in a team environment, providing support to meet deliverables and adding value in a collaborative environment
- Demonstrated high level of attention to detail and organisational and time management skills to manage multiple competing priorities under broad direction, within tight deadlines
- Sound written and verbal communication skills
- Sound problem solving skills
- Proficient in MS Office skills, especially in Word, Excel, SharePoint and PowerPoint
- Ability to use initiative and maintain strict confidentiality at all times
- Excellent communication skills required, both written and verbal
- Team orientated with the ability to work with a variety of people
- Flexible with a lean-in attitude
- Be responsive and results driven
- Motivated self-starter with excellent time management skills
- High attention to detail
- Experience working in Defence industry (desirable)
- Computer literacy with knowledge of MS Suite along with SharePoint & Oracle (desirable)
- Current Baseline Security Clearance - preferable
- Previous experience in a similar role
