**About the role**
The purpose of the Service Administrator role is to support the Team Leader Social Groups and wider social and dementia support programs team by undertaking administrative tasks, ensuring compliance with set procedures and protocols, customer service, data collection and general team support as required.
- Handle all enquiries ensuring to provide accurate, clear, and concise information and communicate in accordance with 3Bridges customer service expectations.
- Liaise with clients, staff, volunteers, and drivers to confirm service and availability in relation to client needs.
- Provide a high level of customer service whilst performing administrative and other duties required by the position.
- Ensure new clients are uploaded into the system accurately and in a timely manner.
- Maintain and manage comprehensive professional client files and records.
- Develop and confirm run sheets and bus bookings, as per the most efficient route and considering client needs.
- Confirm clients attendance/service on the client management system, and update data as required.
- Provide back up support for groups as required.
- Maintain data, ensuring progress notes are captured in a timely manner.
- Manage purchases for the group activities as required.
- Manage bookings with external service provider/ venues for group outings.
- Report vehicle logs to relevant department(s).
- Process client invoices in a timely manner.
- Audit and maintain client care plans and group attendance.
- Manage client account enquiries.
- Liaise with Finance regarding any account discrepancies.
- Undertake any other reasonable administrative tasks to ensure the smooth operation of all services.
About You
- Certificate III in Individual Support/ Aged Care/ Disability or other relevant qualification.
- Experienced in administration and customer service.
- Demonstrated knowledge of the new Aged Care Quality Standards.
- Sound skills in Microsoft Office, including Word, PowerPoint, Excel, Publisher, and Outlook.
- Strong verbal, written and interpersonal skills and able to interact appropriately, confidentially, and professionally.
- High level organisational skills, including the ability to prioritise, organise and coordinate multiple tasks.
- Customer orientated, with strong interpersonal skills and the ability to deal with a diverse range of people.
- Ability to problem solve and pro-actively address challenges.
- High level of attention to detail, accuracy and to deliver on commitments.
