We are looking for an Administrative Officer for a period of 3 months at the ASO4 level.
Reporting to the Committee Secretary, and in accordance with the policies and guidelines, the Administrative Officer provides a range of administrative and IT support services for committees and other Committee Support staff.
Key responsibilities:
- Perform a range of administrative and IT support tasks including:
- providing a range of office support, assistance with finalising committee reports, and IT related support functions
- acting as first point of contact for enquiries to the Committee Support
- undertaking records management and filing and development and maintenance of electronic database/s;
- contributing to and carrying out updates of the Committee Support web page content and database/s;
- coordinating and booking Committee Support advertising;
- providing information to Members' offices, departmental officers and the public;
- developing and updating the Business of Committees;
- ensuring that papers and documents are circulated and stored according to relevant instructions.
- Assist others with a range of tasks including:
- making travel arrangements and organising meeting schedules and facilities for public and private meetings and hearings;
- managing Questions taken on Notice, compiling and disseminating committee reports;
- compiling and keeping up to date statistical information for the Annual Report.
- Provide, as required, general assistance to the team
What we are looking for:
- An experienced administration officer who is familiar with all aspects of office administration and can demonstrate the ability to work flexibly in a fast-paced setting
- A high level of familiarity with digital systems and equipment, including video-conferencing and MS Office software or the ability to quickly develop this capability
- An understanding of Assembly committee and parliamentary processes or the ability to quickly develop this capability
- The ability to communicate clearly and concisely, both orally and in writing
- A proven ability to work with others towards team objectives.
