**JOB PURPOSE**:
The Vendor Expeditor will be responsible for managing and coordinating the procurement process, ensuring timely delivery of materials and equipment from vendors. This role acts as a key liaison between Fyfe and its clients, working to maintain strong relationships, resolve issues, and continuously improve procurement processes.
**SCOPE**:
This role demands a deep understanding of procurement processes, along with exceptional communication skills and the ability to handle multiple priorities in a dynamic, fast-paced project setting. The Vendor Expeditor plays a vital role in ensuring the timely and successful execution of technical elements in brownfield engineering projects. By expertly managing vendor relationships and overseeing procurement activities, the Vendor Expeditor ensures project requirements are met efficiently and in compliance with industry standards.
**THE ROLE**:
- ** Conduct Market Research**: Identify and evaluate potential suppliers and subcontractors, ensuring they meet project needs and maintaining an updated procurement database, including supplier qualifications and capabilities.
- ** Stakeholder Liaison**: Work closely with business stakeholders to understand and align on business requirements, scopes, and specifications. This includes preparing RFQs and RFPs, issuing NDAs, and ensuring timely, professional issuance of all procurement documentation.
- ** Procurement Execution**: Follow Fyfes procurement principles to ensure an effective bidding process that supports project success. This includes handling procurement tasks for infrastructure and resource projects and adhering to deadlines.
- ** Communication Management**: Serve as the main point of contact between internal teams and external suppliers to ensure the procurement process is smooth, compliant, and transparent.
- ** Weekly Procurement Reporting**: Provide regular updates to senior stakeholders, highlighting the progress of procurement activities and ensuring that all procurement KPIs are met during the bidding phase.
- ** RFQ Analysis and Evaluation**: Review and assess supplier submissions, create commercial comparison sheets and identify potential areas for improvement to secure competitive outcomes.
- ** Compliance and Ethical Standards**: Ensure all procurement activities strictly adhere to company policies, ethical standards, and transparency requirements.
- ** Customer Service**: Maintain high standards of service to all business units and ensure that procurement activities meet the needs of various teams across the organization.

- Ensure all work undertaken in area of responsibility is done within OHS&W legislation and using safe work practices
- Take reasonable care of own OHS&W and that of others in the workplace
- Constantly review safety working procedures and practices within area of responsibility
- Develop a safe work environment by controlling, directing and monitoring work practices within area of responsibility
**PERSON SPECIFICATIONS**:
- Minimum of 5 years of experience gained in Supply chain and Procurement Departments within Infrastructure, Energy, and Resource sectors
- Excellent communication skills with multiple stakeholders, JV partners
- Confidence in having technical discussions with internal and external stakeholders
- Ability to analyse prices by assessing basic cost drivers (Raw Material, Manpower, Depreciation, etc..)
- Attention to detail and yet being able to deliver outcomes within a pressed time frame
- Have a curious mind, take initiative, enjoy collaborative work, and adapt to a dynamic and fast-paced working environment
- Team player, flexible in supporting various types of bids and projects
