Broadbean Catering & Events is hiring a full time Event Coordinator to work out of the National Museum of Australia in Acton, ACT.
**Role Description**
The Event Coordinator position is a dynamic role primarily focused on the successful planning and execution of all events held at the NMA; conferences, formal dinners, cocktail receptions & weddings as required.
**As part of the role, duties and responsibilities will include**:
- Management, planning and execution of all private & corporate events held at the National Museum of Australia (NMA). Events include breakfasts, conferencing, cocktail receptions, luncheons/formal dinners and weddings.
- Coordinate all stages of event management including initial client contact, communicating event logistics with relevant internal stakeholders, working with the NMA Venue Manager and Broadbean’s Sales and Function Managers.
- Coordinate all at-event requirements including AV, lighting, catering, security, cleaners, logistics and suppliers.
- Create event orders and liaise with the NMA Venue Manager, Broadbean’s Sales and Function Managers and the Head Chef, including attending weekly event meetings.
- Meet the client on arrival at the event, ensure set up is correct and assist in event set up if required, introduce client to Function Manager, brief security and cleaner(s) on event.
- Invoicing and follow up feedback reports. Objective analysis of events and striving to improve on each event is essential.
- General administration, customer relationship management and general office work.
- Assisting in a sales capacity when and where required and could include: - Liaising with NMA staff regarding internal bookings and external events, - Meeting with potential clients, discussing their event enquiries, - Liaising with the Head Chef to meet client menu requirements, - Quoting and client proposals.
- Assisting the Functions Manager when and where required and could include: - Acting as the function assistant during events, including catering buffet set up/pack down, meal break service, room re-set etc, - Assisting with event set ups, - Maintaining back of house operations and tidiness of catering equipment/inventory control, - Assisting with function staff rostering, - Assisting with linen ordering.

- Able to multi-task and deliver tight deadlines.
- Have the ability to assist in the set up or pack down for events including moving furniture.
- Be great with people; friendly, approachable & professional - you will be the face of the event and therefore the business
- Be a fun, passionate and energetic addition to our close-knit team.
**Relevant Skills & Experience**:
- Experience in a similar role, within the hospitality industry, is crucial.
- Experience in the planning and execution of events, is advantageous.
- Excellent ability to use Microsoft Word and Outlook. Previous experience with event software (Priava or similar) and MYOB preferred but not essential.
- Outstanding written and oral communication skills.
- You must be detailed orientated, organised, self-motivated and have the maturity to manage your own time within hospitality hours, scheduling appointments to suit.
**We offer the following for this position**:
- Competitive salary based on experience, pay range $65,000-$70,000 (negotiated dependent on experience) + 11.5% super (increasing July 2025) + annual leave.
