**Responsibilities**
The Compliance support role is responsible on a daily basis for providing administrative support to the Security and Compliance team. The role supports IBX Operations across Australia, and in collaboration with the team ensures security and compliance systems are well supported and maintained.
Audits & Certifications
- Coordinates the Security and Compliance internal intranet home page providing effective communication to internal clients as it relates to certifications and customer audits.
Management Systems
- Provides routine site level logístical support for management review meetings
- Supports the basic maintenance of compliance records in local/global repositories, including records relevant to Operations compliance
- Coordinates routine communications: requests for assistance, questions, reports of non-compliance working with manager and teammates to compile and communicate responses, directing more complex issues to senior teammates
Program Management
- Coordinates development and sign off of purchase orders and other financial requirements in support of the security and compliance functions
- Prepares basic reports based on compliance audits and vendor contracts.
- Support compliance tools/systems under guidance of senior staff within the team
- Consider and initiate opportunities for process improvement
Training
- Learns to use professional concepts of basic regulatory compliance training and is building the basic knowledge of standards and how to use the system
- Maintains training records and the training schedule and logistics, within a limited scope
- Assists with follow-up of basic compliance training completion
**Qualifications**
3+ years of experience in administration support
Must hold or be able to obtain a Australian National Security Clearance (NV1)
Advanced level Microsoft Word and Excel
Experience in purchase ordering ideal, particularly COUPA system
- High level of integrity and respect for confidentiality
- Proactive with the ability to work independently or in a dynamic team environment
- Highly organised and ability to prioritise and manage time effectively
- Ability to work across a range of administrative, project and support activities
- Strong customer and service-delivery focus
- Strong written and verbal communication skills
- Ability to communicate effectively with stakeholders at all levels of seniority
- Self-motivated with a positive, can-do attitude
- Strong team player
