What this job involves
Working onsite with a client in Canberra, you will be the professional face of the organisation and will deliver a seamless outstanding reception and facilities coordination experience.
**Responsibilities include but are not limited to**:
Provide administration support to Client and the facilities team including the processing of all invoices in the JLL systems.
Build and develop effective client / stakeholder relationships across multiple levels of the organisation.
Ensure that the visitor/customer sign-in/out as per policy and procedures and issue Visitor Badges.
Book and manage meeting rooms as requested, order catering, room set ups and pack downs etc.
Ensure rooms are stocked with appropriate stationary/catering supplies and are kept neat and tidy, in good working order at all times
Provide tea/coffee making services for client meeting including coffee runs as required
Ensure any catering requirements are met and arranged for meetings & events.
Manage car parking for visitor (If needed) and ensure records are up to date.
Liaise with cleaners to attend to staff needs on housekeeping matters.
Travel booking for the agency when necessary.
Ensure that Audio-Visual services are in place and the necessary preparations have been made and are in working order.
Fulfil any ad-hoc requests promptly and efficiently to support the facilities team or (client)
Management and induction of all contractors on site to ensure they perform to the required standards.
- A motivated self-starter with a proven track record of successfully delivering best practice and quality to their client. Exposure to working in a facilities, property management, hospitality or related field preferred.
Proven experience in reception preferably in a corporate environment
Must present a professional and friendly corporate image to clients.
Ability to interact well within a team.
Ability to learn new systems quickly.
Ability to confidently interact with all levels of the organisation from CEO to cleaning contractors.
Able to work with mínimal supervision.
