Medical Receptionist

**_Introduction:_**
- The purpose of this job description is to ensure smooth and efficient functioning of the practice and to provide an excellent standard of care to patients._
**_Selection criteria_**
**Essential**
- _Previous experience in medical reception and/or practice management_
- _Fully vaccinated against COVID 19_
- _The ability to maintain a high level of professionalism and confidentiality_
- _Excellent communication skills, written and verbal_
- _Ability to work independently, show initiative and work productively within a team environment_
- _Ability to communication with a diverse range of people_
- _Previous experience in General Practice Reception._
- _Working knowledge of Microsoft based software systems (eg. Word, Excel)_
- _An understanding of medical terminology, medical and allied health professional organisations and relevant stakeholders._
- _An understanding or experience in general practice accreditation and standards._
**Desirable**
- _Experience in the use of Best practice software._
- _An understanding of the Medicare Benefits Schedule._
**_Responsibilities:_**
- Operational:_
- _Open and close clinic as per set procedure and specified times._
- _Read communication book._
- _Maintain practice dress standards_
- _Greet attendants at the practice in a courteous and professional manner._
- _Answer the telephone calls promptly in a courteous and professional manner._
- _Receive and convey messages in writing, verbally and electronically_
- _Monitor for stationery and/or clinical supply levels and place orders for stationery and/or clinical supplies to maintain a working supply at all times._
- _Liaise with patients and their families in a compassionate manner_
- _Liaise with GPs, referring doctors other health professionals and their staff, hospital staff, pharmacists etc courteously and professionally._
- _Make appointments for patients following clinic procedures._
- _Issue patients’ invoices/receipts and bulk bill as required._
- _Handle cash, EFTPOS and other payments and chase up unpaid billings as required._
- _Inform nurse and doctors of emergencies when necessary following clinic procedure and policy._
- _Notify and/or transfer inquiries and telephone calls about test result to nurse or doctors and/or record inquiries for later notification as necessary._
- _Take requests for prescriptions and pass it to doctor/nurse as necessary._
- _Attend to account queries and to exercise confidentiality in regard to patients’ information, records, results, and all aspects of the patients’ care as well as all aspect of the practice._
- _Adhere to abnormal result policy._
- _Ensure Registration, Health Summaries, Patient Information sheets, New Patient Packs and information displays are correct and current and enough in supply._
- _Ensure patients are not required to wait excessive periods of time for an appointment and that patients are informed of possible delays._
- _Assist doctors and nurses by making phone calls, photocopying, etc as required._
- Administration:_
- _Prepare and record outgoing mail daily._
- _Open, stamp appropriately and distribute incoming mail._
- _Prepare documents for mail-out_
- _Scan and file all patient correspondence etc._
- _Maintain patients’ information, inactivate patients no longer attending or deceased, update current information, link family members and unlink independent children and archive as needed. Type and document as required and enter and update patient registrations and information with a high level of accuracy._
- _Type medical reports as required._
- _Batching Medicare and Veterans Affairs._
- _Balance daily receipts._
- _Ensure banking processed and banked on Fridays and Tuesdays._
- _Ensure Back up hard drive changed daily and recorded._
- Safety and quality:_
- _Participate in the practice risk management and quality improvement processes_
- _Record incidents and near-misses in line with practice policy_
- _Practice duty of care including standards and accountability_
- _Maintain patient and practice confidentiality at all times_
- _Ensure the practice building and work spaces are conducive to a safe and practical work environment_
- _Work to clinical governance processes and standards_
- Other Duties:_
- _Fill in roster when staff is away, on holidays, or on sick leave._
- _Perform any other administrative duties as directed by the Practice Manager or Principal doctor._
- _Check suggestion box and restock suggestion forms._
- _Actively participate in general staff meetings._
- _Actively participate in ongoing professional development activities_
- _Attend training sessions in-house and external courses when required._
- _General housekeeping such as tidying and cleaning of waiting and consulting rooms etc. when necessary._
