
Facilities Manager

We are looking for our newest Facilities Manager to join our head office based in Darra In this role you will ensure the efficient facilities management and working environment of our office by providing a number of administrative support functions, facilities and property management and management of building compliance. The role also supports a pleasant and productive working environment for local staff and visitors through administrative and catering support services, fielding calls, and organising Darra office employee events.
The role maintains an effective network across Cement Australia for championing people and culture initiatives across our sites and implementing them at Darra to encourage engagement, inclusion and retention of staff.
**About the role**:
In this role you will:
- Manage the building and facilities at Darra (supporting circa 120 staff) including building operations and maintenance, visitor access and security, safety controls and parking management
- Complete project management work including office refurbishments, office relocations, various building works, restoration works etc.
- Manage contractors on site to ensure work is conducted according to contracted standards
- Ensure repairs and maintenance are conducted on time, within budget, and within safety requirements
- Ensure annual compliance with fire, safety and other regulations
- Provide support for external & Board meetings eg. room setup, ordering catering, clearing of rooms
- Set up and support meeting room requirements and ensure the general workspaces are operational
- Complete mailroom services including receipt and sorting of mail and parcels, maintaining supply of post consumables and arrange for pick up/drop off of mail each day at post office
- Manage the AO Document system, legal register and Document Management System
- Process of all office related invoices via SAP/CAAPS workflow system
- Process all invoices in SAP for site (e.g. rent, electricity, rates, water)
- Manage after hours enquiries to the building as required including visitors/contractors (on-call)
- Maintain all building legislative requirements in relation to tenancy such as fire safety installations, wardens, electrical testing etc
- Maintain all office requirements to ensure compliance with SHEQ Policy and Management System, Site Management Plan, Risk Register, incident reporting etc.
- Assist/coordinate event and functions for the business (dinners, functions, get togethers)
- Ensure first aid officers and fire wardens are trained, rehearsed and supported
- Assist in managing the company-wide online communication tool Workplace and managing posts
- Ad hoc general office errands (eg. coffee runs, off site printing)
**About you**:
- Minimum 3 years experience in a similar role (Office Administration, Office Manager, Facilities Manager)
- Minimum 2 years in office management experience
- Demonstrable Project delivery experience
- Knowledge of facilities management legislation and regulations for office compliance and certification matters
- Previous experience managing multiple vendors
- Proficiency with the entire Microsoft Suite (Word, Excel, PowerPoint) and Gmail
- Ability to be proactive and multi-task
- Good communication skills - written and verbal
- Ability to effectively prioritise and time management
- Ability to provide excellent support and customer service to internal stakeholders
- Proven accounting SAP/CAAPS experience (required)
- Proactive, with the ability to be re-active where necessary
