**ABOUT THE POSITION**
The Global Partnerships Executive Officer provides administrative support and project management within the Global Affairs and Partnerships team to the Executive Director of Global Partnership and Vice President Business Development & Engagement. This includes managing, tracking and reviewing partner agreements, keeping accurate records and data management, producing regular detailed high quality partnership performance reports, extracting and analysing data, providing progress reports on the implementation of joint programs and supporting the governance of the partnerships. The role assists in ensuring effective communication across the Australia and China teams, as such it improves the flow of information and report on the status of the partnership projects in its various key aspects of delivery.
**Qualifications**:
- Masters degree in relevant field
**Experience**:
- Sound experience and understanding in administrative duties.
- Experience in project management and in managing client/stakeholder matters.
- Ability to produce a good report.
- Understanding of legal compliance, contracts and agreements.
**Skills and Knowledge**:
- High levels of organisation and time management skills.
- Ability to act without guidance.
- A friendly professional manner with excellent written English and oral communications skills.
- Organisational skills of a high order, with demonstrated ability to prioritise tasks, meet deadlines and administer an expanding program.
- Competence in using MAC OS X, Microsoft Office, Adobe Acrobat and related software.
- Accurate typing skills.
- Excellent record keeping and data entry skills.
- Intermediate IT knowledge and ability.
- Liaise with AEMG internal & external stakeholders.
- Experience with project management collaboration software tools (Microsoft Teams, Trello etc).

**WHAT YOU ARE EXPECTED TO DELIVER**
ADMINISTRATIVE
- Manage administrative tasks within Global Partnerships department.
- Assist in producing internal/external used material for the Global Partnerships department.
- Support the coordination of agreements and contracts.
- Analyse internal data from AEMG BI system and produce reports.
- Liaise with internal and external stakeholders (AEMG China, university partners).
- Providing a full suite of secretariat support in arranging travel bookings and visiting schedules for the Executive Director in Global Partnerships and delegates.
- Assist in preparing requisitions for planning and organising initiatives, projects and other activities ensuring that milestones and key deliverables are met.
- Liaising with Finance to assist with the reconciliation of monthly expenses.
- Budget system data entry and preparation of requisitions.
- Maintain a database of partner contacts.
- Arrange for annual seasonal gifts and hampers to be sent to partners Ad-hoc administration duties as required, such as providing administrative support to senior management.
REPORTS
- Work with the President’s Office to document flow charts and project implementation plans and work processes for team functions and key tasks.
- Assist the Executive Director in Global Partnerships in project management plans across managing partnership reports for joint programs, and the development of implementation plans and processes.
- Includes preparing regular high quality visual reports, tables, and presentations.
OTHER
- Other tasks as required/directed by the management.
- Comply with WHS regulations
