**This role sits within the Service NSW in the Enterprise Risk & Enablement Division**
**About the team**
Enterprise Risk & Enablement (ERE) is a key function within the Service NSW providing operational expertise across a broad spectrum of areas. These include procurement, contract management, training, knowledge management, workplace health and safety (WHS), governance, compliance, risk management, Ministerial and Parliamentary services, leadership and employment programs, privacy, asset management, facilities and fleet management, and enterprise engagement.
ERE also plays a critical role in customer-focused services, including customer resolution, advocacy, payments (with a focus on outbound services), and fraud advisory and investigations.
By working closely with all divisions of Service NSW, our teams help to mitigate risk, strengthen controls within customer experiences, and continuously enhance our governance and fraud management frameworks. This ensures that we are equipped to support the evolving and increasingly complex range of products and services delivered by Service NSW.
**About the role**
As the Divisional Support Officer, you will play a pivotal role in providing comprehensive administrative services to the business unit. Drawing on your extensive knowledge of the unit's operations and objectives, you will help support the effective execution of its program of work, ensuring that business operations run smoothly and efficiently.
Your responsibilities will include coordinating various administrative tasks, managing schedules, organising meetings, and assisting in the preparation of reports and documentation.
Additionally, you will work closely with senior leaders, providing essential support to help them manage their day-to-day activities and facilitate decision-making processes. Your role will be key in ensuring the seamless delivery of the unit’s priorities and contributing to the overall success of the business unit.
**Responsibilities**
- providing a range of administrative and support services
- responding to and resolving complex enquiries and issues
- coordinating and managing records and database
- developing, implementing and monitoring office systems, procedures and methods
- gathering and collating information for, and preparing documentation and reports on business unit performance
- making recommendations to improve efficiency, cost management and service delivery
- maintaining and updating administrative practices, systems and procedures
**To be successful in this role you will demonstrate**:
We are looking for a highly organised and proactive individual with a strong administrative background and a keen understanding of business operations. As a Divisional Support Officer, you will be a key player in supporting the smooth functioning of the unit and assisting senior leaders in their day-to-day responsibilities.
To thrive in this role, you will have:
- Strong administrative skills with experience in managing a range of tasks such as meeting coordination, document preparation, and reporting.
- Excellent communication abilities, both written and verbal, with the capacity to liaise effectively with colleagues at all levels, including senior leadership.
- Attention to detail, ensuring all tasks are completed to a high standard and deadlines are consistently met.
- Time management skills, with the ability to prioritise and manage multiple tasks simultaneously in a fast-paced environment.
- A collaborative work style, working well within a team and across various divisions to support operational objectives.
- Experience with business systems and software, and a willingness to adapt to new technologies as needed.
- Discretion and professionalism, maintaining confidentiality and handling sensitive information appropriately.
Salary Grade 5/6, with the base salary for this role starting at $88123 base plus superannuation.
