Position Purpose

The primary objective of this position is to provide high quality administrative support to the

Director Information Technology Services and the ITS Senior Leadership team. The role is

responsible for, but not limited to, the provision of high-level finance and human resources

related activities, management and analysis of reports, management of operational projects

that support the Directorate, ITS strategic and operational plans and those of the University.

This position also provides general administrative support to the wider IT Leadership team

and whole of the IT Services Office.

Key Responsibilities/Duties

1. Provide a high level of confidential administrative and secretarial support including:

- Respond to initial staff queries and where necessary triage complex queries to the

appropriate team member/s within the ITS Office.
- Manage Director’s inbox and flag any critical correspondence
- Manage Director’s diary and provide diary assistance to Associate Directors as

requested
- Maintain, coordinate and prepare meetings and appointments on behalf of the

Director and IT Leadership team
- Prepare and distribute meeting agenda and minute meetings as required
- Coordinate travel arrangements and expense management for the Director and IT

Leadership team
- Directorate support including building management, stationery and kitchen orders

and other general administrative tasks
- Maintain upkeep of all common areas including front and back of house and

maintenance of the IT printer/photocopier.

2. Support the Director by being up to date with the running of the Directorate

3. Assist the Director and IT Leadership team in monitoring and reporting on budgets and

ensuring that expenditure is in line with University and Directorate policies and

procedures.

4. Provide advice, guidance and administrative support to Directorate staff regarding

budget, financial and recruitment matters.

5. Prepare analysis and coordinate reports and ad-hoc projects as required.

6. Assist in the preparation of the Directorates Operational Plan and any other operational

or strategic activities for which the Director is responsible. Prepare Director’s credit

card acquittal and provide support in acquitting other departmental credit cards as

required.

7. Prepare purchase requests, expense invoices and memorandums on behalf of IT

management.
