We are a fast-growing event styling and activation company, known for delivering luxe, high-impact brand activations and corporate events. We work with private and corporate clients to bring their vision to life through exceptional styling, event logistics, and creative installations. We’re looking for a highly organised and proactive individual to join our team as an Event & Client Services Coordinator. This role blends client communication, event coordination, and administrative tasks, making it perfect for someone who thrives in a fast-paced, creative environment.
**Your Responsibilities**:
- **Corporate & Activation Client Management**_
- Serve as the main point of contact for corporate and activation clients, ensuring smooth communication.
- Respond to client enquiries, confirm event details, and provide updates throughout the event planning process.
- Maintain strong relationships with brand and corporate clients, ensuring high levels of service.
- **Accounts Receivable & Financial Admin**_
- Oversee client accounts receivable, conducting weekly and fortnightly check-ins to ensure timely payments.
- Track deposits and payments, following up on outstanding invoices.
- Work closely with the finance team to ensure accounts are up to date.
- **Event Coordination & Logistics**_
- Prepare detailed run sheets for each event, ensuring all team members have clear instructions.
- Compile job packs for the team, including event details, logistics, styling requirements, and task breakdowns.
- Liaise with vendors and suppliers to coordinate deliveries, materials, and services for each job.
- Ensure event teams are fully briefed and prepared for seamless execution.
- **General Admin & Workflow Management**_
- Track job progress and flag outstanding tasks to the operations team.
- Ensure all event details are documented and accessible to relevant team members.
**What We’re Looking For**:
- Experience in event coordination, client services, or business administration.
- Strong written and verbal communication skills—confident in handling corporate clients.
- Attention to detail—ensuring accounts, run sheets, and job packs are accurate.
- Highly organised—able to manage multiple clients and events at once.
- Proactive and solutions-focused—able to problem-solve and adapt in a fast-paced environment.
- Confidence with financial admin—basic experience with invoices, payments, and account tracking preferred.
- A passion for events and styling—understanding of luxury event execution is a bonus
