- Site located at Prospect - Large linear infrastructure project

**The Opportunity**

Due to new projects and increased outputs we are seeking an additional Site Administrator to be part of the West Region Delivery Team. We are working on critical infrastructure to deliver design, construction, maintenance and facility management services for the next ten (10) years across wastewater and recycled water systems extending from Sydney’s Inner West suburbs out to the Blue Mountains, including the Western Sydney Growth Area and part of the North West Growth Centre.

**There will be a requirement to periodically travel to sites across Western Sydney.**

Reporting to the Project Manager, you will play a key role in site Administration on a tier 1 construction site.

**Responsibilities**

You will provide clerical and administrative assistance to the project team including;
- The flow of correspondence into and out of the office
- Reconciling and processing invoices
- Dealing with subcontractors and suppliers
- Maintaining various registers and spreadsheets
- Assisting in the month-end process
- Coordinate site meetings, calendars, events, site tours/visits, documenting meeting minutes and other duties related to project management
- Assist with preparing, formatting and collating reports and presentations
- Order and re-stock office stationery, supplies and catering
- Manage meeting room bookings, room set up, attendance, catering, equipment
- Ensure general housekeeping is maintained
- Provide an efficient and professional administrative service to enable the smooth running of the project
- Prepare and process Subcontractor Payment Claims in accordance with current legislative and contractual obligations, including claims for variations.
- Assist in the maintenance of all registers and files (e.g. contract, procurement, claims, variations, correspondence etc.)

This will suit someone who has a genuine passion for site admin, an eye for detail, and wants to advance their career with a tier 1 contractor.

**What will you need**
- A minimum of 3 years' experience working in a similar role
- Proficient use of Microsoft Office - Word (Advanced), Excel (Advanced), Power Point (Advanced), Outlook (Advanced)
- Experience with software such as JDE, M Files, WorkDay and timesheet software are desirable but not essential
- Excellent oral and written communications skills
- High degree of accuracy in typing, spelling and grammar
- Strong customer service skills
- Effective team-player capabilities
- Positive, enthusiastic and flexible attitude
- Ability to manage multiple tasks, meet tight deadlines, and high attention to detail
- Ability to plan and organise workload appropriately, combined with a willingness to undertake routine task
