Job Description:
- POSITION
The Office Administration assistant will be responsible for the day-to-day running of the office facilities function, whilst also providing administrative assistance to various departments across the business including but not limited to HR, Senior Exec Team, Sales Ops and Customer Advocacy.
Whilst the role and responsibilities are varied, the role is integral in maintaining operational efficiency, supporting the smooth functioning of multiple business functions, and delivering exceptional support to both internal and external stakeholders (customers, clients, and employees) of the business.
- MAIN DUTIES / RESPONSIBILITIES
- Key responsibilities include but are not limited to:_
Administration and Office Support
- Manage the overall presentation and security of the office area, including meeting rooms, storeroom, kitchen.
- Manage stationery supplies (incl postage satchels) for the office, ensuring sufficient levels are always available.
- Maintain food and beverage supplies for the office, (incl coffee fruit and milk) and catering supplies when necessary.
- Liaising with global/local parties to facilitate annual Australian Consumer Law training.
- Be the conduit for Global Sustainability communication to Belkin ANZ.
- Ensure all annual regional reporting requirements are filed on time in conjunction with Finance Director and Managing Director.
- Ownership of setting board meetings, taking minutes and filing with Company Secretary.
- Couriers - organize and monitor for pick-up and delivery for all departments.
- Reception - answering of intercom, meeting and greeting visitors/clients upon arrival and advising relevant staff member.
- Day to day office administration including deliveries, distribution of mail, answering phones.
- Coordination / booking of travel where required.
- Assist with company events and / or functions / catering where required.
- Maintain company phone contact lists, ensuring always up to date on the intranet with new employee information.
- Provide phone back up for CA team during breaks/sick leave/annual leave.
- Assist CA Team with CEW logs and processing of incoming Surge/CEW claims and returns.
- Assist CA Team with end user returns, processing and stock returned to Belkin office.
- Assist HR Generalist with company functions such as the annual Staff Appreciation Celebration and coordination of annual awards.
- Assist HR Generalist with preparation for any of the employee engagement activities throughout the year including coordination of catering, preparation and post event clean up.
- Assist all departments with general administration duties on an ad hoc basis.
- Maintain a safe and clean working environment.
- Other duties as assigned.
- SKILLS AND EXPERIENCE
- Minimum 2 years office administration.
- Customer service orientation - ideal but not essential.
- Working knowledge of Microsoft Office Suite / adaptability to learn new programmes.
- Sound written and verbal communication skills.
- Forward thinking, proactive and intelligent disposition.
- Highly organised and flexible as no two days will be the same.
- Strong ability to multi-task, work autonomously, prioritise, and operate to deadlines.
- Punctual and strong work ethic.
