**Position Overview**:
As an NDIS Plan Manager, you will play a pivotal role in supporting participants with the management of their NDIS plans. This includes guiding participants on funding usage, processing invoices, and ensuring that services align with their goals. You will ensure that all financial aspects of participants’ NDIS plans are handled effectively and compliantly, while maintaining strong relationships with clients, providers, and other stakeholders. Your work will contribute to an excellent service experience for participants, ensuring they have the control and flexibility they need in managing their NDIS funding.

**Key Responsibilities**:
**Plan Management & Financial Oversight**:

- Assist participants in understanding their NDIS plans, including budget management, funding allocation, and service options.
- Process and manage invoice payments in compliance with NDIS guidelines, ensuring accuracy and timely submissions.
- Oversee the financial aspects of NDIS plans, ensuring that services are delivered within budget, NDIS guidelines, and participants’ needs are met.
- Ensure all data is entered correctly, invoices are processed efficiently, and financial records are maintained accurately.
- Regularly review plans and spending, identifying potential risks or overspend and providing guidance on budget management.

**Client Engagement & Support**:

- Client Communication: Serve as a knowledgeable point of contact for NDIS participants, providing clear, supportive communication that helps clients understand and maximise their NDIS funding.
- Build and maintain strong, trusting relationships with participants, families, and support networks.
- Provide empathetic, clear guidance to participants on how to use their NDIS funding and navigate available supports.
- Assist new participants with the onboarding process, ensuring a smooth transition into the NDIS system and empowering them to achieve their goals.
- Address participant inquiries, resolve issues promptly, and escalate urgent matters as needed to ensure a seamless experience.
- Foster a positive and proactive attitude in every interaction, ensuring a high level of service and satisfaction.

**Collaboration & Stakeholder Management**:

- Liaise with internal teams and external stakeholders, such as the NDIA, service providers, and support coordinators, to ensure a seamless experience for participants, maintaining open and effective lines of communication.
- Communicate effectively with service providers to ensure that services are delivered as planned, and funding is used appropriately.
- Liaise with relevant authorities to ensure compliance with NDIS guidelines and industry standards.

**Compliance & Risk Management**:

- Ensure all financial transactions, paperwork, and data are managed in accordance with NDIS guidelines, confidentiality requirements, and organizational policies.
- Verify that all information is current and accurate, ensuring that participant plans are regularly reviewed and updated when necessary.
- Identify and report any risks or concerns related to plan management, escalating issues when appropriate.

**Process Improvement & Innovation**:

- Contribute to continuous improvement by identifying opportunities to streamline processes, enhance service delivery, and increase operational efficiency.
- Engage in professional development and stay up-to-date with the latest NDIS guidelines, quality standards, and best practices.
- Support a culture of quality assurance, actively participating in feedback loops and improvement initiatives.

**Administrative & Data Management**:

- Manage all paperwork related to NDIS purchases, payments, and other administrative tasks.
- Handle incoming calls, provide administrative support, and ensure that all relevant data is captured and stored accurately.
- Ensure that all participant correspondence is handled confidentially and efficiently.

**Other Duties**

Fulfil other duties as required by management and other department personnel as requested/required

**Key Qualifications**
- Strong administrative skills, including proficiency with Excel, Word, CRM systems, Xero.
- Excellent communication skills with the ability to engage clients and service providers with empathy, clarity, and professionalism.
- Ability to thrive in a fast-paced environment and manage multiple tasks simultaneously.
- Strong understanding of the NDIS framework, including funding models, price guides, and compliance standards
- Proven experience in NDIS plan management
- Attention to Detail: Accuracy and precision in processing financial information, managing client records, and handling invoices. Ability to identify discrepancies and resolve issues efficiently.
