We are seeking an experienced Office Manager with a minimum of 3 years' experience (1 year in Australia) in a project-based environment to support our civil engineering consultancy. This role involves managing suppliers, coordinating resources, and improving processes within our dynamic team.

**Responsibilities**
- Support project workflows, scheduling, task tracking, and milestone reporting.
- Manage supplier relationships and oversee financial systems, including Xero.
- Coordinate resource allocation using project lifecycle workbooks.
- Drive process improvements and ensure smooth office operations.
- Work closely with project teams to facilitate timely project delivery.

**Required Skills and Experience**
- Diploma in Business Administration or equivalent.
- Minimum 3 years of experience, including 1 year in Australia in a project-based company.
- Proficiency in Xero and project coordination tools.
- Strong organizational, process improvement, and stakeholder management skills.
- Ability to work independently in an office-based environment, Monday to Friday.
- Familiarity with **procurement processes** specific to civil engineering, such as sourcing specialized materials or equipment.
- Ability to create and maintain **ISO-compliant documentation** for engineering projects (e.g., ISO 9001, ISO 45001, ISO 14001).
- Proven experience with **resource leveling and critical path scheduling** in large-scale projects.
- Ability to coordinate **multidisciplinary teams** and maintain progress on simultaneous projects.
- Demonstrated experience in **developing automated workflows** in Microsoft Power Automate or similar tools to streamline administrative tasks.
- Experience in managing **multi-currency transactions** for international projects.
- Ability to prepare and analyze **complex project budgets** and cost reports.

Pay: $35.00 - $40.00 per hour

Expected hours: 38 per week

Schedule:

- 10 hour shift
- 8 hour shift
- Day shift
- No weekends

**Education**:

- Advanced Diploma / Associate Degree (required)

**Experience**:

- Office management: 3 years (required)

Licence/Certification:

- Driver Licence (required)
- First Aid Certification (required)

- Australia (required)
