We have an exciting opportunity for an experienced administration manager to join our first flagship venue on a permanent, full-time basis in the heart of Melbourne's CBD.
Reporting to the venue General Manager, you will be responsible for assisting with our successful day-to-day operations from an administrative perspective.

Situated in the CBD at the luxury Emporium shopping centre, ‘Fortress Melbourne’ is an incredible addition to the city’s cultural, tourism and nightlife offering.
The 1,000 capacity venue includes an 800 sq/m 200 seat live esports arena (the ‘Alienware Arena’), 150+ premium LAN PCs, old school arcade games, two licensed bars, private party spaces, a full-service Tavern restaurant holding specially created VIP video game booths and designated board game / tabletop areas, merchandise store, dedicated streamer pods, and a live broadcast production facility.

**Essential Duties and Responsibilities**
- Act as the point of contact & representative for venue operations between head office and other Fortress locations.
- Facilitate communications among the operations management team regarding information surrounding new products, events, process changes, materials, etc..
- Coordinate & attend weekly meetings for operations management & other areas of the business, and support with minute-taking.
- Support the venue with the development & implementation of new operational processes & procedures, including document maintenance and review.
- Manage staff compliance & acknowledgement of policy & procedure documentation.
- Check end-of-shift tasks, checklists & reports for completion & possible challenges.
- Assist with delegating ad-hoc administrative tasks to reception staff where required.
- Support management with stocktake procedures including beverage, merchandise and other consumable items.
- Support the analysis & closure of operations payroll each pay period, and provide the Finance team with any necessary information to successfully process payroll.
- Support leave planning & leave liability management.
- Support & maintain file management within the venue across all platforms.
- Assist operations & HR with OH&S review & representation in the venue, including conducting site inspections, recording incident & hazard reports, and supporting action planning for OH&S issues.
- Support the tracking & maintenance of all OH&S boards & registries.
- Process purchase orders and assist with maintaining accurate purchase records including PO matching, setting up of recurring/contracted maintenance PO, and stock maintenance across multiple platforms.
- Follow-up with end-of-day reconciliations, and investigate any discrepancies.
- Support onboarding processes for new venue staff as relevant.
- Follow-up with leave requests & medical certificates where appropriate.
- Assist HR with following up on staff qualifications & credentials including First Aid, RSAs, WWC checks, etc..
- Support the maintenance of a clean & safe venue.
- Organise venue repairs & maintenance.
- Liaise with contractors and organise sign on/off on contractor visits.
- Offer support towards positive contractor relationships.
- Manage the operations asset registry including keys, mobile devices, access, etc..
- Assist with lost property management.
- Perform general admin duties for the business as required.
