The Centre Administration Officer role will be
shared across the ARC ITTC for Joint
Biomechanics and the ARC ITTC for
Collaborative Robotics in Advanced
Manufacturing, both based within the Faculty
of Engineering.

The position will support the administrative
functions of each centre, assisting the Centre
Directors and Centre Managers with daily
operations to ensure the efficient and effective
delivery of the centre’s visions and objectives.

The Centre Administration Officer will also play
a pivotal role in the collaboration between QUT
based centres and their university and industry
based partners.

The Centre Administration Officer will also be
required to engage on the Centre’s behalf with
the School of MMPE, the School of EER,
Office of Research Services, Division of
Resources, and other areas of the QUT as
required.

The ITTCs are supportive of professional
development for all staff and students within
the Centres. We encourage participation in
both informal and formal training activities such
as additional on the job training, role
shadowing and formal training programs
through the formulation of personal
development plans.

This position reports to the Centre Manager for
ITTC for supervision, workload management
and for Performance Planning and Review
(PPR).

**Key responsibilities include**:

- Provide high quality and efficient support to

centre participants including, but not limited
to, diary and correspondence management,
meeting support, including the drafting of
agendas and papers, and general Centre
reception duties.
- Prepare documents and spreadsheets,

including written responses to enquiries,
using intermediate functions of software
packages, including Microsoft office.
- Assist the Centre Managers with the

organisation of local and national events
and arrangements for special visitors. This
can include planning and booking suppliers,
coordinating invitations and responses,
preparing event communications, and
preparing event presentations.
- Administer the centre SharePoint sites

according to policy. This will include
managing access, creating internal news
articles, and storing documents.
- Maintain communication channels including

websites, social media, newsletters etc.
under the guidance of the Centre Manager
and within policy.
- Support the centre data collection

processes to assist with ARC and other
reporting requirements.
- Assist with the travel arrangements and

travel financing for centre members, visitors
and affiliates by liaising with QUT’s travel
supplier, and in conjunction with, and
following, QUT School and Faculty travel
approval guidelines.
- Proactively contribute to improved

improvement and innovation principles to
the development of systems, processes
and procedures, standardising approaches
across both centres when possible.
- Document and maintain relevant

operational procedures, including but not
limited to standard operating procedures,
funding requests and project reports.
- Compliance with health and safety policies,

procedures, hazard reporting and safe work
practices.
To ensure job flexibility the successful
appointee may be required to:

- perform any other duties as nominated by

the University consistent with the relevant
classification descriptors detailed in the
Enterprise Agreement. Staff undertaking
any new duties will receive training;
- participate in job rotation or multiskilling in

consultation with their supervisor;
- work across campuses

**Type of appointment**
This appointment will be offered on a fixed
- term, full-time basis for two (2) years.

Selection Criteria

1. Education, training or relevant experience
equivalent to completion of an associate
diploma with at least two (2) years’
subsequent relevant experience in an
administrative position, or an equivalent
combination of relevant experience and/or
education training.

2. High level interpersonal skills with the
ability to provide professional
administrative support and the proven
ability to liaise effectively with a diverse
range of people at all levels both within
QUT and external to QUT.

3. Demonstrated digital literacy skills through
the use of corporate systems to extract and
interpret data, along with the ability to
effectively work with Microsoft suite of
products (particularly SharePoint and MS
Teams) and website Content Management
Systems

4. Demonstrated ability to use initiative to
solve problems, contribute to continuous
improvement, manage priorities to meet
deadlines, and work productively without
close supervision to support a wide range
of stakeholders

5. Demonstrated experience in organising
events, and the provision of internal and
external communications (including social
media, newsletters etc).

6. Strong written communication skills
including the ability to draft memoranda,
meeting agendas and minutes,
with a high degree of accuracy and
attention to detail
