The role
A pivotal role in providing visitors to our Omni-Channel Fulfilment Centre with a friendly, professional service in a prompt manner, determining the best route for their enquires. Working alongside all team members of the OFC, this role will also be responsible for providing administrative support across the site team and provide support to management on different projects and pieces of work. The role requires someone who is confident, outgoing and not afraid to get hands on with administrative work, find new, better ways of working and who can build strong relationships with different stakeholders across the business.
**This role is based in Truganina**
Key responsibilities
- Support in the induction and on-boarding of team members, contractors and agency staff on a needs basis
- Organise and coordinate leadership team meetings, schedules, training sessions and catering
- Proactively develop and support on staff initiatives including coordination and execution of events such as celebratory days, awareness events and promotion of wider group benefits
- Manage operational labour productivity reporting, and particularly the weekly executive labour reporting.
- Ensure security of the warehouse by ensuring all visitors are signed in/out, aware of safety protocols and have a pass assigned if required
- Providing administrative and customer service support to the warehouse in its entirety
- Performing Office Management duties such as but not limited to
- Accurate filing and storing of documentation
- Ensure staff employee records and personnel files are up to date
- Recording meeting minutes and distributing in timely manner
- Supporting in follow up actions from meeting minutes
- Ordering stationery and office supplies
- Managing office budget
- Invoice reconciliation / validations / approval and payment processing
- Management of training and board room calendar
- Develop, extract, and analyse data to produce accurate and on time reporting on a daily, weekly and monthly basis for the following reports;
- Operational reports
- Budget reports
- Payroll reconciliation
- Employee information
- Prior experience in a receptionist or customer service role
- Moderate computer skills
- Experience with the Microsoft Office Suite
- Strong communication skills
- Customer focussed attitude
- Moderate data analysis and reporting skills
