**About the role**
In this role, you will provide secretarial and administrative support to the Executive Director and promote sound communication between the office and its internal and external customers.

Key responsibilities include:
- Assist the Executive Director in the performance of the functional duties and responsibilities of the Unit.
- Build relationships with key stakeholders both within and external to the organisation.
- Provide support and information to the Divisional Managers as required.
- Cultivate and maintain strong team relationships among colleagues.
- Co-ordinate quality and document control of all Council and Executive Management reports and Divisional policies and procedures.
- Research information on a range of issues, develop recommendations and prepare presentations.
- Monitor the Divisional Corporate Plan and provide regular updates to the Executive Director.
- Assist in the development and monitoring of the Executive Directors annual budget.
- Direct incoming communications and prepare draft responses on behalf of the Executive Director
**About you**
To be successful in this role, you will have a Tertiary qualification in a related discipline and some relevant senior secretarial experience, OR extensive experience in a senior secretarial/Executive Assistant role.
Essential Experience:
- Superior organisational skills, including experience in the organisation of meetings, seminars, travel, etc.
- Ability to co-ordinate the office of a Senior Executive.
- Well developed written communication skills, enabling incumbent to prepare draft reports, letters, agendas and correspondence as required.
- Demonstrated negotiation and assertiveness skill and ability to use initiative in resolving problems
- Ability to effectively monitor projects and provide status reports on the General Manager.
- Ability to conduct research.
- Basic budgetary and financial skills.
- A current Victorian Driver's Licence.
