Job Title: Scheduling Administrator

Workforce Australia for Individuals is seeking an experienced Scheduling Administrator to join their team. The ideal candidate will assist in providing scheduling services that enable the effective matching of customer demand, needs, and preferences to workforce skills and availability.

Key Responsibilities:
  • Deliver Excellent Customer Service: Provide exceptional service to community clients, ensuring their needs are met and expectations are exceeded.
  • Task Management: Monitor and action assigned tasks efficiently, accurately, and within deadlines, ensuring seamless workflow and productivity.
  • Scheduling of Home Care Services: Coordinate and schedule home care services, ensuring timely and effective delivery of services to clients.
  • Stakeholder Liaison: Proactively and professionally liaise with internal stakeholders to support customer changes and additions to their current schedules.
  • Documentation and Compliance: Record, monitor, and maintain documentation that is compliant with the client's framework, the Aged Care Standards, and associated regulations.
  • Communication and Coordination: Call clients to confirm services booked and reflect this in the system, and coordinate services with frontline workers.
  • Support to Scheduling Specialists: Proactively support Scheduling Specialists/Team Leaders to achieve divisional and organisational objectives, goals, and outcomes.
Essential Criteria:
  • A current National Police Clearance (or the ability to apply for one)
  • Demonstrated experience in a fast-paced scheduling/administrative role within a medium to large-sized organisation focusing on delivering quality services.
  • Highly developed software literacy skills across all common MS Office products and ideally in rostering software packages.
  • Highly developed prioritisation skills with a proven ability to manage workload in order to achieve business outcomes.
  • Highly developed analytical skills with the ability to manipulate and analyse raw data and present the analysis in an appropriate manner.
  • Well-developed written and verbal communication skills, including negotiation skills.
  • Knowledge and understanding of scheduling in an Aged Care and/or Health setting will be advantageous but not essential.
